Dear Mental Health Practitioners across Canada,

Let’s not downplay the rush of excitement, eagerness, optimism, anxiety & uncertainty when starting (or joining) a new or existing private practice. It’s a milestone and it deserves to be celebrated 🥳! We’ve designed this blog post specifically for you to help you gain the confidence you desire when using a new software. We will also be addressing the unique characteristics of your practice.

So without further ado, let’s dive into the world of Jane + Mental Health.

Here’s what we’ll help answer:

  • How have other mental health practitioners set-up their practice (schedule, sessions, etc.)?;
  • How do I add my license number?;
  • How can I book for couples, families & minors?;
  • How do I set-up fees for sliding scale?; and,
  • What does the process look like for supervisor sign-off?

📆 The Schedule

Jane has developed a simplified and stunning schedule to allow you to book in your clients with ease. Sessions are completely customizable: this includes session names, descriptions, cost, duration, whether they are in-person or remote, and even their color.

Online booking settings for your schedule can also prove to be quite handy. Cluster booking, for example, will limit gaps in your day by offering availability adjacent to already booked appointments 🤩. If you are new to practicing, Jane also offers a ‘make me look busy’ feature to ensure clients can only see X number of available sessions in your day at any given time.

💻 Setting up your Staff Profile with ID Numbers

Are you a registered mental health practitioner? Jane has a specific area within your staff profile where you can save your registration or license number so that it is automatically included on invoices & receipts.

Within your staff profile, you’ll click into “Billing” where you’ll find an area to add your “ID Numbers”. This is an important area as well if you are a Supervising Therapist. If you supervise other practicing therapists at the clinic, they can also add your name and registration number to their ID Numbers so that it shows up on their invoices & receipts:

Booking Couples 👫 & Families (including minors) 👨‍👩‍👧

Mental Health clinics require unique features to streamline their scheduling and communication. Jane developed a feature called ‘relationships’ so that communication can be automated between related profiles. That’s right, Jane has the ability to send communication to multiple email addresses.

💳 Mental Health Billing - Sliding Scale & Adjustments

Do you offer sliding scale pricing at your clinic? If so, Jane has two different ways to easily set this up.

  1. Jane’s adjustment feature allows you to create pre-set override values that you can apply to your client’s invoice prior to collecting payment. You’ll also have the ability to change that override value on the spot.

  2. Secondly, if you’d like to make additional changes to the invoice, you can edit the invoice prior to collecting payment by adding text, or manually changing the dollar value.

🔒 Supervisor Sign-off and Practitioner (Limited) Access

For larger mental health clinics with 2 or more staff, access levels become important and are typically restricted to Practitioner (Limited) for the treating practitioners and (sometimes) the Supervisor at the clinic as well. This means that staff will be limited to seeing only those clients’ charts and profiles with whom they’ve had an appointment; either in the past or for future visits.

With this access level in mind, how might we go about sharing chart entries with a Supervisor, for their notes, review & sign-off?
