Getting Started
Before you get started, make sure you have the following set up:
- Documo license - You'll need an active Documo account before you can set up inbound fax. Signing Up for a Documo License
Instructions
To set up inbound fax with Documo IDP (Intelligent Document Processing), follow these steps. Steps 1 through 3 only need to be done once, by an Owner/Admin. Step 4 needs to be completed separately by each staff member who wants to file documents. Once account-level setup is complete, faxes sent to your chosen number will arrive automatically in your Documo workspace, ready to be filed into Jane.

Step 1 for Owner/Admin: Creating a Workspace
A workspace is a dedicated hub in Documo for documents waiting to be filed into Jane.
- In Documo, click Workspaces > My Workspaces > Create.
- Name your workspace and add any members who need access.
- Enable Documo's IDP features.
- Click Save.
π©΅ Jane Tip: Each Documo user profile can only connect to one Jane staff profile, and profiles can't be shared. If multiple staff members need access, an Owner/Admin can set up a separate Documo profile for each person.
Step 2 for Owner/Admin: Adding a Fax Number to Your Workspace
- Click the three dots next to your workspace name and select Edit Workspace.
- Go to the Data Sources tab.
- Click Add.
- Select the fax number or numbers you want arriving in this workspace.
- Click Add.
π£ Heads up: Each fax number can only be associated with one workspace at a time. Adding a number that's already routed to another workspace moves it.
Step 3 for Owner/Admin: Connecting Your Workspace to Jane
This step links your Documo workspace to Jane so documents can be sent there. It's separate from the API key connection used for outbound faxing.
- In Jane, go to Settings > Integrations.
- Click Get Started on the Documo Inbound tile.
- Click Install.
- In the new tab that opens, log in to your existing Documo account.
- In Documo, find the Jane tile and click Set Up.
- Paste your clinic's Jane URL (formatted as
http://clinicname.janeapp.com) - Set the environment to Production
- Click Continue
- In the browser pop-up, click Authorize to complete the connection between your Jane and Documo user profiles
Step 4 for All Other Staff: Installing the Integration
Every other staff member who wants to file documents needs to complete the steps below.
- In Jane, go to Settings > Integrations.
- Click Get Started on the Documo Inbound tile.
- Click Install.
- In the new tab that opens, log in to your existing Documo account.
What to Expect
Faxes sent to the number you added now arrive in your workspace automatically, without anyone needing to upload them manually. If IDP automations are enabled, Documo runs OCR, classification, and extraction on each document as it arrives, so the document type and patient fields are pre-filled when a staff member opens it to file it into Jane. Each Documo user will need to authorize the connection between their own Documo and Jane profiles the first time they try to send a document to Jane.
Important Notes
- This connection is separate from the API key setup used for outbound faxing. Setting up one does not set up the other.
- Each staff member must complete Step 4 to connect their own Documo user profile to their Jane staff profile.
- There's no limit to how many fax numbers you can associate with a workspace.
- You can turn IDP automations (OCR, Classification, Extraction, Split Detection) on or off for a workspace at any time from the Edit Workspace menu. If automations are off, staff enter the document type and patient fields manually instead of confirming pre-filled ones.
- You can set how long documents are retained in a workspace from the Edit Workspace menu.
