5 Tips to work smarter, not harder with Jane.

Today, we’ve compiled 5 of our favorite time-saving-tips to help you increase the efficiency of your common tasks such as: taking payment, reminding patients about their visits, charting, and more!

Tip #1: Save Time Collecting Payments

With Jane Payments, you can get paid when an appointment is booked by setting up credit card pre-payments or deposits for online booking. You get better clinic cash flow and reduce the payment administration both onsite and after service.

If a client would prefer to settle up their payment after a session from the comfort of their own home, you can send a Pay Balance email. Clients can pay their balances online with the pay prompt inside the email, and not have to come into the clinic. Everyone wins!

These online payments are also a great option for touch-less payments. Processing payments online avoids the need for on-site pin entry and allows for a quicker, easier, and safer payment option for both you and your clients.

Tip #2: Quickly Identify Draft Charts

(…and those you may have forgotten to start 🤭 )

With the Practitioner Dashboard, you can see a collection of statistics about your own performance within a certain date range in a simple and visually-appealing way.

The Charts component of the Dashboard will show the distribution of your signed, drafted, and never started chart entries for any arrived appointments within the past 90 days. You can quickly identify any incomplete entries by clicking “View All” at the bottom of the Dashboard.

Jane will redirect you to your chart’s area where you can filter to your draft chart state, and finalize the entries.

How about those pesky charts that haven’t been started quite yet — whoops! Click into your Appointments Report for a specific date range to see the Chart Statuses identified as “none”. The chart status will be “none” if an appointment has arrived, yet a chart hasn’t been started yet from the day view. Then, get comfortable — you have some charting to do! 🙌

Tip #3a, #3b, #3c, #3d…Save Time Charting

Jane’s Charting area has a number of tricks to save your fingers some precious time!

Phrases is a charting feature that allows you to auto-populate sentences or short phrases in a chart entry by using a hotkey. Ask any chiropractor already using this feature — it’s a huge time-saver! Phrases can be used for your most commonly used exercise prescriptions, billing codes, symptoms, assessments, areas of treatment, medications…the options are endless!

The Smart Options & Narrative charting feature allows you to create a complete narrative in a few clicks. Seriously – click a button, and then watch the magic happen! Jane will auto-generate a summary of your findings for you.

A simple, but super handy trick is to use Jane’s Duplicate feature. Think of it like a copy & paste for both draft or signed charts. You can then leave any information you’ve entered as-is, and delete, edit, or add to the entry as necessary.

Last but certainly not least, Dictation! Did you know you can dictate right into Jane? iPhones and iPads can use Siri, and on any Mac you can hit the “fn” key twice to enable dictation. Jane will work with any dictation software that works with websites.

Tip #4: Automate Reminders

Patients often need to be reminded of their upcoming appointments, so why not let Jane lend a hand! Automating your patient reminders is a fantastic way to free up some extra time in your daily routine. Jane lets you send your patients automatic email and text message (SMS) reminders before each appointment. You can offer multiple reminder options at no additional cost and even customize the language.

Automated reminders and intake forms can also help reduce your time spent on data collection. Clients will receive a prompt to fill out their intake form within Jane’s email notifications and reminders. You’ll be able to collect data on a patient’s reason for visiting and insurance information prior to arriving. Online Intake forms also reduce your paper costs and paper waste. 💪 ✅ ♻️

Bonus

If a patient doesn’t have an email address on file, or the patient has specifically requested Phone Call Reminders, they will be automatically added to the Phone Reminders list for your staff to call.
