How to Create and Send Quotes to Patients

You may want to provide your patient with a quote for a service or a bundle of services. We have a handful of workflow options for secure methods to send this information to your patients.

Quote by using Charts Templates

Step 1: Create your Template

First, we’ll head over to the Template section to set up a template that fits your needs. To get started, just follow these steps: Click on Staff > Your Staff Profile > Templates.

Now, let’s pick a Template. You have two options here: create your own unique Template or choose one from our helpful Template library.

Within our Template Library, search for “Quote” and you’ll discover a bunch of options. We’ve even got a special one called “Aesthetics Quote and Summary of Consultation” that might be perfect for you.

When you find the Template that catches your eye, just click +Add to add it to your library. Ta-da! Now it’s all yours. Remember, you can always tweak any template to make it fit your style once it’s in your Staff Profile.

Step 1: Sending Your Quote

Now that you’ve got your Quote Template ready, it’s time to add it to your Patient’s Chart. You can do this on the day of the appointment or whenever you like through the Patients tab. Within the Patient Profile, head to the Chart section and click on New Chart Entry > Your Quote Template.

Now it’s time to fill in the relevant information in your Quote Template. Once you’ve added all the necessary details, Sign the template and remember to choose “Not Visible to Patient” so you can share it with your patient.

When you’re ready to share the Quote with your patient, a friendly reminder will pop up, letting you know that you’re about to share this information through their Patient Portal. Select, Confirm & Notify.

If you’d like to add a personal touch, feel free to include a friendly note along with the Quote Template before you hit Send. Your patient will then receive an email notifying them that you’ve shared a document through their Patient Portal, along with the message.

To make sure your Quote Template stays at the top of the Patient Chart, you can Star the Chart Note.

Once you’ve shared the Quote Template, your patient will be able to access it securely within the Documents section of their Patient Portal.

Quote by using Products

Step 1: Create Quote

For this workflow, we can create a product called a “Quote” that can be invoiced to patients, emailed, and then deleted once that Quote is provided to the patient. To do this let’s head to Settings > Products > New Product.

We can then call this product “Quote” and for now leave the Required Price as 0.00 to fill in as needed when invoiced to the client. Once we’ve filled in accordingly, we can Create Product.

Voila! We’ve now created our Product for a Quote.

Step 2: Quoting a Patient

Now we can generate our quote for the patient. Let’s head to Patient Profile > Billing > New Purchase.

From here, search for your “Quote” and add it to the patient profile. You’ll notice the pencil on the right of your newly added quote. Select to now make your customizations.

This will then take you to our Purchase page. Scroll down until you find your Invoice section, and select your most recent Invoice.

We can then add any details about this quote to the Details box **change the **Amount field to reflect the quoted amount and Save.

Once saved, Jane will re-rout you to our Purchase page where we can then email the copy of our Quote. To do this, select the Pay dropdown, and choose either Receipt (Options) or Receipt (Detailed) under the Email section.

If you’d like to view what your patient quote looks like by email, feel free to take a look through your Message tab in the Patient Profile. This will also show up in the Receipts section of their Patient Portal.

And there we have it!

We can now remove our Quote from the Patient Profile to remove to outstanding balance.
