Option 1: Add a product to an existing appointment
Use this option when a patient is already booked in for an appointment and you want to include a product on the same invoice.
- Open the arrived appointment from the schedule.
- Click the dropdown arrow beside the Pay button > select Add Items.
- Search for and select the product you want to add. You can add one product or multiple.
- Assign the product to a practitioner if needed, and adjust the multiplier if applicable.
- Click Receive Payment to collect payment, or click Save to process it later.
What to Expect
The product and any appointment items appear together on a single payment screen and are included on a single receipt. On the administrative side of Jane, you’ll see two separate invoices: one for the appointment and one for the product.
Option 2: Sell a product to an existing patient without an appointment
Use this option when a patient has a profile in Jane, but isn’t booked in for an appointment.
- Go to the Patient’s Profile > Billing > New Purchase
- Enter the product name in the search field, then select it from the results list.
- Adjust the Purchase Date if the sale took place on a different date.
- Enter the Staff Member selling the product, if applicable.
- Adjust the quantity if needed.
- Click Receive Payment to collect payment now, or click Save to process it later.
🩵 Jane Tip: If the patient isn’t paying right away and your clinic uses Jane Payments, you can send them a Pay Balance Reminder{:target=”_blank”} to collect payment later.
What to Expect
The product sale appears in the patient’s Billing tab as a new invoice. The invoice is available immediately and can be paid, saved, or sent to the patient from that screen.
Option 3: Sell a product to a walk-in without an appointment
Use this option when someone comes in to purchase a product and either doesn’t have a profile in Jane or you’re processing a quick walk-in sale.
📣 Heads up: A patient profile is required to complete a product sale in Jane. If the person is a walk-in who isn’t a patient of the clinic, you can create a generic profile (for example, “Clinic Walk-ins”) to process the sale.
- Go to Billing > click New Sale.
- To sell to an existing patient, search for and select their profile.
- To sell to a walk-in, click New Patient and enter the minimum required details.
- Search for and select the product.
- Assign a staff member and adjust the multiplier if needed.
- Click Receive Payment to collect payment.
What to Expect
The product sale is recorded in Jane and a receipt is generated. You can print the receipt or download and email it to the customer from the invoice screen. If the person doesn’t have an email address on file, you can print a copy directly.
Important Notes
- Product sales: Only available from the administrative side of Jane.
- Patients can’t purchase products via online booking.
- Multiple items on one receipt: Only supported through the appointment panel (Option 1). Without an appointment, use a combined product or treatment.
- Clinics on the Insurance add-on can also use billing codes to combine multiple services on a single visit (see Related Guides).
- “Bill To” section: Not directly editable. It auto-populates from the appointment, insurance, and profile used for the sale. Update those to make changes.
