In some cases, parents or guardians may not want their child or teenager to receive financial emails or SMS messages, which include:
- Receipts
- Patient Invoices
- Superbills 🇺🇸
- Statements
- Manual or automatic Pay Balance emails or SMS
By default, new profiles are opted in to receive billing payments and texts, but they can be opted out administratively. First, head to the child or teen’s patient profile and click Edit/Settings under their name.
Next, scroll down to their Notifications section and un-check the box labelled Send billing and payments emails and texts. Be sure to hit Save afterwards.
In order for the parent or guardian to still receive financial emails and texts, make sure their profile is linked to their child’s and that the parent has permission to receive their child’s billing and payment emails and texts.
📍 Heads up! If the child’s profile shares the same email as their parent’s, disabling financial communications on the child’s profile will also stop them from sending to the parent. In this case, there’s no need to disable financial emails, this feature is meant for when a child has their own email for reminders and notifications, while a parent’s separate profile handles billing.
The screenshot below shows Bobby’s profile and his parent, Christina, has permission to receive his financial communications.
Now, when a financial email or text is sent, it will bypass the child’s profile and only go to the parent’s profile.
The child’s profile will continue to receive all other notifications that they are opted into, like appointment reminders or booking notifications.
The Communications Tab
On the child’s profile under their Communications tab, you can see all notifications that have been sent. For all financial communications, there will be a Bad Recipient label, which is actually a good thing in this case! It means that the child has not received the financial communication. You should also see the parent or guardian who has received the notification CC’d like in the image below.
FAQ
Are new patient profiles opted in or out of receiving billing and payments emails and texts by default?
When a new patient profile is created, they’ll be opted in to receiving billing and payments emails and texts by default. So, if you don’t want the profile to receive these emails and texts, you’ll want to opt them out administratively.
Will the child or teen’s profile still receive other SMS messages and emails that don’t have to do with finances like appointment reminders?
Yes, as long as the child or teen’s profile is opted into those notifications. To check, click Edit/Settings under their name in their patient profile and make sure that the checkbox labelled Email notifications of new, cancelled and rescheduled appointments is checked off.
Will the parent or guardian still receive their child or teen’s financial emails and SMS messages?
Yes, as long as the parent or guardian’s profile is linked to the child or teen’s and they have permission to receive a copy of the child or teen’s billing and payment emails and texts.
