How Do Family Members Book Appointments Online

Enabling family booking lets patients book appointments for related profiles directly through their My Account portal. This guide covers how to turn on that setting and what the booking experience looks like for patients.

Staff Access Level: Full Access and above (to turn on this clinic-wide settings)
Jane Plan: Practice and Thrive (Legacy plans have access)
Prerequisite: A Patient Relationship must be set up between the two profiles with the Book Appointments permission enabled.

Enabling the Setting

  1. Go to Settings > Online Booking.
  2. Scroll to Booking, Cancelling & Relationships.
  3. Toggle on Allow patients to add family profiles.

The Patient Booking Experience

Once the setting is enabled and a Patient Relationship is in place, patients will see a family booking option when booking online.

  1. The patient selects an appointment time and completes the booking flow as usual.
  2. Jane asks who the appointment is for. The patient selects from a dropdown listing themselves and any related profiles.

Booking Multiple Family Members at Once

Patients can book appointments for multiple family members in a single session using the Book More button. After adding all appointments, Jane prompts the patient to assign each one to a family member using individual dropdowns.

What to Expect

Once a patient completes the booking flow, the appointment is created on the family member’s profile. The patient can view all family appointments (upcoming and past) in the Upcoming Appointments and Appointment History tabs of their My Account area.

Important Notes

  • When a patient books for a family member, Jane checks the credit card on the booker's profile, not the family member's.
  • If your clinic has set a limit on how many upcoming appointments a patient can book, that limit applies per profile. Appointments booked by one patient on behalf of a family member count toward the booker's limit, not the family member's.
