When you’re juggling a busy schedule, having key patient information at your fingertips can make all the difference. That’s where the Patient Profile Dashboard comes in. It’s a quick glance summary bar at the top of every patient’s profile that shows you what you need to know, right when you need it.
This guide walks through each metric in the dashboard, what it means, and where you can click to dive deeper into the details.
What You’ll See
The Patient Profile Dashboard appears as a row of metrics near the top of a patient’s profile. Each value reflects live data from that patient’s record, giving you a snapshot of their appointment history, billing status, and account balance without having to click around.
Depending on your clinic’s subscription plan and your staff permissions, you may see some or all of these metrics. Don’t worry if a few are missing. It just means they’re not applicable to your role or your clinic’s setup.
Who Can See the Dashboard?
Any staff member who has access to a patient’s profile can view the Patient Profile Dashboard. The metrics displayed are based on the full patient record.
However, staff members who don’t have Access Billing enabled under Staff Profile > Permissions & Commissions won’t see the billing metrics such as Claims Outstanding, Private Outstanding, Credit, and Private Balance.
Dashboard Metrics
Let’s walk through each metric you might see 🪂
Total Bookings
This is the total number of scheduled appointments ever booked for this patient. It includes appointments with a status of Booked, Arrived, Checked In, or No Show. Appointments that were cancelled, deleted, rescheduled, or never actually booked aren’t counted here.
Click on this metric to jump directly to the patient’s Appointments tab.
Upcoming Appointments
This shows how many future appointments the patient currently has on the books. It’s a subset of their Total Bookings, only counting scheduled appointments with a start time that hasn’t happened yet.
Click on this metric to view their upcoming visits in the Appointments tab.
No Shows
This count reflects how many times the patient has been marked as a No Show. This can include past appointments where they didn’t turn up, or even future appointments if they’ve been marked early (for example, if they called ahead to say they won’t make it but you’ve already flagged it).
Click on this metric to see all their appointments in the Appointments tab.
Time Since Last Visit
This tells you how long its been since the patient’s most recent arrived appointment. Jane adjusts the wording depending on how recent it was, so you might see minutes, hours or days.
Note 📍: If the patient has never had an arrived appointment, this metric won’t appear at all.
Claims Outstanding
This displays the total dollar value of insurance claims that have been submitted but haven’t been paid yet. It’s a helpful way to keep track of what’s still pending from insurers or third-party payers.
Note📍: This metric only appears if your clinic’s subscription includes the Insurance add-on and your staff access level allows you Billing access.
Clicking on this metric will bring you to the Billing > Insurance Policies area of the patient’s profile.
Private Outstanding
This shows the total unpaid balance the patient owes directly, meaning anything not being billed or covered by an insurer. If a patient has an outstanding balance for treatments they’re paying for out of pocket, you’ll see it here.
Clicking on this metric is a shortcut to the Receive Payment screen.
Credit
Any available account credit, such as an overpayment or an unapplied payment, will be displayed here. Depending on how this original payment was received, it can either be refunded if created in error, deleted or applied to future invoices.
Clicking on this metric brings you to the Billing > Payments area of their profile.
Private Balance
This is the net amount the patient owes after accounting for any credits. It’s calculated by taking the Private Outstanding balance minus any Credit balance. Think of it as the bottom line for what a patient owes the clinic directly.
Clicking on this metric brings you to the Billing > Purchases area of their profile.
