On November 1, some regions in Canada will stay on daylight time instead of turning their clocks back. Every phone, browser, and app (Jane included) needs to install an update to reflect this time zone change. Jane controls when Jane is updated, but not when a patient’s phone or browser installs its own update.
As a result, some appointments booked for November 1, 2026, or later may be one hour off from the time a patient chose. This can happen in two cases: the patient’s phone or browser updated before Jane did, or the appointment was booked before both the patient’s device and Jane had updated. For example, a patient picks 11:00 AM when booking online, and the appointment appears on your schedule at 10:00 AM.
How to Check Which Appointments May Be Affected
To find appointments that may be affected, use the Appointments Report. You can then reach out to patients ahead of time.
All staff access levels can open the Appointments Report, but lower access levels may not see the full report.
The appointments to check depend on where your clinic is located:
- Clinics in B.C., Alberta, and the Northwest Territories: Check appointments booked before October 7, 2026 for a date on or after November 1, 2026.
- Clinics in other regions with patients in B.C., Alberta, or the Northwest Territories: Check appointments booked before October 15, 2026 for a date on or after November 1, 2026.
- Go to Reports > Appointments.
- Set the date range filter to start on November 1, 2026.
- Set the All States filter to Booked Online.
- Click the three dots > Export to Excel to work from a spreadsheet.
- Download and open the Excel file.
- Find the booked_at column (Column S).
- Look for appointments with a booked_at date before the date for your clinic:
- Clinics in B.C., Alberta, and the Northwest Territories: Before October 7, 2026 (2026-10-07).
- Clinics in other regions (with patients in B.C., Alberta, or the Northwest Territories): Before October 15, 2026 (2026-10-15).
- Contact patients with an affected appointment to check that they are available at the correct appointment time.
Additional Steps (Optional)
These steps are optional. Use them to check which patients have a time zone different from your clinic’s, update a patient’s time zone, or show appointment times in your clinic time zone only.
How to Check Which Patients Use a Different Time Zone
Patient reports are only available to Account Owners and Full Access users.
To find patients in a different time zone than your clinic:
- Go to Reports > Patient List.
- Click the three dots in the upper right > Export to Excel.
- Download and open the Excel file.
- Find the last column of the spreadsheet, which shows the time zone each patient has currently selected.
- Look for patients whose time zone is not staying on daylight time.
- Optional: Sort the column in Excel to group time zones together.
How to Update a Patient’s Time Zone
If needed, staff can update a patient’s time zone on the patient’s behalf. All access levels can do this for any patient whose profile they can open. Some access levels only see their own patients.
- Go to the patient’s profile.
- Click Edit/Settings beneath the patient’s name.
- Select the patient’s time zone from the drop-down menu underneath the phone numbers.
- Click Save.
Showing Appointment Times in Your Clinic Time Zone Only
Turning off the Patient’s Preferred Time Zone feature requires Full Access or above. If all of your patients are in the same time zone as your clinic, you can turn off the Patient’s Preferred Time Zone feature so that appointment times only show in your clinic time zone.
- Go to Settings > Online Booking.
- Scroll down and uncheck the Patient’s Preferred Time Zone checkbox.
- Click Save.
What to Expect
Jane shows a notice on web booking, on the My Account page, and in the Jane for Clients mobile app, asking patients to review their upcoming appointments. Jane also sends an email from your Jane account to potentially affected patients with a list of their upcoming appointments to review.
Important Notes
- Patients in the same time zone as your clinic, or in another time zone that is staying on daylight time, received correct times in appointment emails and reminders. For example, if your clinic uses the Vancouver/America time zone, patients who use Vancouver/America or Edmonton/America received correct times.
- Patient time zones cannot be updated in bulk. Update each patient individually.
