A private booking link lets you share access to specific treatments or sessions with selected patients without making those options visible in your general online booking site. To create a private booking link in Jane, youāll set up a hidden location, assign treatments and staff to it, and then share the link directly with patients.
Instructions
Step 1: Create a new location and hide it from online booking
- Go to Settings > Locations > Add Location
- Enter the location details
- Scroll to the Display location address on your online booking site and emails toggle and turn it off
- At the bottom of the page, ensure that Location available to be booked online is also toggled off
- Click Save
Step 2: Make your treatments available at the new location
- Go to Settings > Treatments, Classes & Group Appointments
- Click Edit to the right of the treatment you want to make available privately
- Scroll down to the Details section
- Toggle on the new location
- Scroll down to the Online Booking Settings section and make sure Display in Online Booking is toggled on
- Click Update Treatment
Repeat this step for each treatment you want to include in the private booking link.
Step 3: Enable the new location on the staff memberās profile
- Go to the staff memberās Staff Profile
- Click Edit/Settings > Settings
- Toggle on the new location
- Click Save
š£ Heads up: The staff member also needs shifts set up at the new location for the treatment to be bookable online. Check out our guide on Creating and Managing Shifts if shifts havenāt been set up yet.
Step 4: Copy the private booking link
- Go to Settings > Locations
- Find the new location and copy the blue hyperlink displayed at the top of the page
What to Expect
The link opens a booking page showing only the treatments and staff available at the private location. Patients who access the link can book without the location appearing in your general online booking site. Patients who visit your main booking URL will not see the private location or its treatments.
Important Notes
- If your clinic uses Jane Payments, make sure Jane Payments is enabled for the new location.
- Go to Settings > Jane Payments > click the pencil icon > toggle on the new location.
- The location will appear in your location list in Settings but will not be visible to patients through your main online booking site.
- Each staff member who offers treatments at the private location needs to be opted in and have shifts set up there individually.
