Understanding "Booked" vs "No Availability" on Your Online Booking Site

Ever notice how your online booking site shows Booked in some spots and No Availability in others? This is Jane’s way of being helpful by showing patients the difference between times when you’re popular and fully booked versus times when you’re simply not available.


There are three scenarios where this text appears:

  • Fully Booked Time Slots: This text will appear in the middle of a scheduled shift where there are appointments available, but all the slots have been booked.
  • Scheduled Breaks: If you add a break in your schedule at a time that’s usually open for appointments.
  • Online Booking Settings Impact: Book by Treatment or Staff Member are two online booking settings that impact how and when this text appears.


Note📝: The Booked and No Availability text is currently hard-coded and can’t be customized at the moment.


Online Booking Settings

Your online booking site offers two booking methods:

  • Book by Treatment: Patients select the treatment they want first, then see available times without your schedule background.
  • Book by Practitioner: Patients see your profile picture and can view your schedule with availability displayed.

If a patient selects the treatment (Book by Treatment), then your availability is shown without a schedule. This was designed to accommodate multiple staff members who offer the same treatment.

If the patient clicks the practitioner’s profile picture (Book by Staff), then they are shown a version of the schedule with the availability displayed.

While there are some restrictions when it comes to customizing how and when this text appears, you have the option of turning off Book by Staff Member. This option is ideal for solo practitioners or if you work remotely and would like to keep your schedule a bit more private.

To view and update this setting, you can head over to the Settings tab, select Online Booking, scroll down to the Display Preferences section and toggle off Book by Staff Member.

Make sure to scroll down a bit and click on the blue Save button to confirm those changes.

By adjusting this setting, you can control how much of your availability is visible to clients while still making it easy for them to book appointments with you.
