Jane's Guide Here's all the help you need to use Jane.

Importing from WebPT

Disclaimer about our import guides: We create our guides through the experiences we have importing from different software, as well as searching for guide documents from these software to assist our customers in transitioning over to Jane. If you have any difficulty while retrieving your data, it’s best to reach out directly to your current software provider.

Making a change? Jane’s got your back when switching over from WebPT

Thinking about moving to Jane? That’s exciting, not just for you but for us, too! 🎉

We’re here to help every step of the way, whether you’re just starting your journey and would like to see a demo of how Jane can help you grow and flourish, or you’re starting to set up your account and need one of our dedicated onboarding or import specialists to guide your way.

What to Expect

While we’ve seen many imports from WebPT, and thousands from other software, WebPT does not have online documentation that’s accessible to folks who aren’t a current customer.

We’ve seen a variety of data from here, but you’ll most likely need to reach out to them if you’re not sure how to export different types of data.

Exporting Your Data: What to Know

For data provided to Jane for import, you’ll need to provide most of it in either Excel or CSV. You can provide charts in this format as well, but we’ve seen charts be exported in PDF format, with each patient’s chart history separated into an individual PDF.

Patient List

We’ll need you to upload your Patient Report export with as much detail as possible. We see most clinics upload this document to Jane in Excel file format though we occasionally see clinics upload a CSV file of their data.

Appointments

We have seen very few customers be able to provide appointment data to upload. You may need to manually enter in future appointments if that’s the case, so it’s good to be aware and set aside the time accordingly you may need to enter this in after importing your patient list.

Charts

We have had many clinics successfully export their chart notes from WebPT. There are two compatible formats for importing chart notes to Jane:

Charts in PDF format that are separated by one patient per PDF file.

Charts in Excel or CSV format organized by one patient per row, with the notes, author name, etc. in separate columns.

There isn’t a support document on their website that goes through the step-by-step process on exporting your patients’ charts, so we advise reaching out to WebPT directly for assistance.

Here is their contact info: Contact WebPT

WebPT Billing Data

We don’t import billing information such as Accounts Receivable or Credits as there are formatting issues between the two systems, but our understanding is that Clinicmaster allows for the export of your billing data to back up files prior to your license expiring, so you can retain access to this information after your Clinicmaster access has ended.

We also have a great guide on Transitioning Your Clients Credits/Receivables to Jane that you can follow along with to ensure that’s entered into Jane for you should you need to carry these over.

Uploading into Jane

To ensure that your data is uploaded to the correct account, and for security reasons, we do not accept patient data via email. You can upload the files to us in the Settings > Schedule an Import area.

You can find an overview of this process here: Scheduling Your Import
