Importing from IntakeQ

Disclaimer: This guide uses our experience importing from different software, as well as any guides different software publish, to assist our customers in transitioning over to Jane. If you have any difficulty downloading your data, it’s best to reach out to your current software provider directly.

What can you expect?

While you’re making the switch over to Jane, IntakeQ allows you to export most of your data fairly easily. Below are step-by-step instructions on getting as much as you can export from there, which you can provide to Jane. The below instructions are very important as we require you to let us know a bit of information, and what to expect from us post-import.

What can we import?

Exporting your Client List from IntakeQ

IntakeQ allows you to export your Client List to a CSV file, which can then be opened in Excel.

To export the client list, you can follow these steps below:

  1. Head to Lists > Clients.
  2. Click on the Export Clients button (located below the search button).
  3. Select *Export All Clients and a CSV file download will begin with your client details. Export Specific Clients
  4. Navigate to Lists > Clients.
  5. Use the input fields at the top of the screen and click the Search button to filter which clients will be included in the output.
  6. Once your client search is complete, click on the Export Clients button (located below the search button).
  7. Select Export Search Results and a CSV file download will begin with your client details.

Exporting Client Data & Intake Forms from IntakeQ

  1. Navigate to More > Extract Data.
  2. If you haven’t created an export profile yet, there should be a green button labelled Create New Export Profile.
  3. To create or manage profiles, you can click on the Manage Profiles button located in the top right corner of the page.
  4. To create a new profile, click on the blue New button on the left of the screen.
  5. Enter the name you want to give this profile.
  6. Select which questionnaire you’d like to pull data from. After selecting the questionnaire, the list of fields should be loaded in the left-side panel of the dashboard.
  7. Next, drag the fields you want to extract to the right panel. You can think of these fields as columns in an Excel file.
  8. Name the columns. To change the name of a column, click on the settings icon of the field you need to rename.

Filter the Data
Now that your export profile is complete, you can head back to the export page. Here, you should see that the export profile you created is available, and you can use it to extract data from intake forms.

Next, select a date range, click on filter and you should see a list of intakes. You can then check all (or check only the ones you want to export). It’s also possible to filter the results by client name or email.

Exporting Appointments from IntakeQ

To export a list of appointments to CSV (or Excel), you can follow the steps below:

  1. Navigate to Lists > Appointments.
  2. Fill out the search filters and run the search.
  3. Click on Export… > Export to CSV to download the CSV file

Exporting your Insurance Policies from IntakeQ

To export a CSV list of your claims, you can follow the steps below:

  1. Navigate to Lists > Claims.
  2. Use the search filters to narrow the results to what you’re looking to export.
  3. Click Export to CSV and select one of the various export options.

Exporting your Client Files from IntakeQ

In order to export all files (notes, intake forms, or both) for a specific client, follow the steps below:

  1. Navigate to Lists > Clients.
  2. Use the search filter options to locate the client you want to export files for, then click the blue Open button.
  3. On the clients’ profile click on the circle button located in the top right corner of the page.
  4. Select one of the export options as shown below to export different types of files.

IntakeQ Billing Data

We don’t import historical billing information as there are formatting issues between the two systems, however, we have a great guide on Transitioning Your Clients Credits/Receivables to Jane that you can follow along with to ensure that’s entered into Jane for you should you need to carry these over.

Uploading into Jane

To ensure that your data is uploaded to the correct account, and for security reasons, we do not accept patient data via email. You can upload the files in the Settings > Schedule an Import area.

You can upload the .zip file (or files if there are multiple clinicians) as-is into the import along with any report files (Client Details, Appointment Status, etc.) directly into the import. If you password-protected your zip file, please remember to include the password in a message in the secure import area.
