Importing from PMP

What can you expect?

Coming from PMP, we’ve previously brought over patients, appointments, and comments/notes. Below you’ll find step-by-step instructions for how you can export your data when you’re feeling ready to make the switch to charting, billing and booking in Jane 💙

What can we import?

If you’ve previously migrated from PMP to OCA Aspire, please reference our guide on importing from OCA Aspire.


Exporting your Patient List from PMP

Exporting your full patient list from PMP can be a bit finicky. We’ve seen that trying to export everything at once can sometimes cause an error. To help avoid that, we recommend breaking the export into smaller batches by Patient Number. This should make it a little smoother to get the full list out of PMP. Here are some steps to try:

  1. Navigate to Utilities in the top menu > Patient Export by Office
  2. In the pop-up, click Select Fields to Export
  3. Click the Copy Defaults button on the left to copy all the fields into the Available Fields column on the right
  4. Click the Accept button
  5. Back in the pop-up, click Export, Excel Spreadsheet
  6. A standard warning will pop up. Click Ok
  7. Title the file and click Save
  8. If you receive an error message, this means you will need to break the list down into smaller chunks. Click the Choose Criteria using Query button.
  9. Filter by a Patient Number range:
    • Start by toggling ON both Patient Number checkboxes
    • Enter a range of patient numbers. For example, you can try starting with a range of 0-20,000, which would look like Patient No. >= 0 and Patient No. <= 20,000
  10. Click the Accept button
  11. A message will pop up that says “Please Wait, collecting the Data”
  12. When the message disappears, this means the report has successfully run. Title the file Patients_Patient Number Range (e.g. Patients_0-20000) and click Save to save the file to your device.
  13. Repeat steps 2-12, filtering for the remaining patient number ranges and title each file accordingly.
  14. Keep filtering by patient number range until you’re confident you’ve captured the complete set of patients. You may need to keep chunking the patient numbers down into smaller ranges for the export to successfully run.

👩‍⚕️ Just bringing over patients for one doctor? You can select them from the List of Treating Doctors in the Choose Criteria using Query step.

Appointments from PMP

Coming from PMP, we have seen clinics provide us with the Appointment Log report in PDF format. To export the Appointment Log, you can follow these steps:

  1. Navigate to Reports > Appointment Reports > Appointment Log
  2. Select the Filter by Appointment Date option
  3. Set the Date From and Date To fields to capture one year of appointments
  4. Select the Save to File option
  5. Click Run the Report
  6. When the report loads, click File > Print
  7. In the pop-up, click the Printer Setup button
  8. In the Name dropdown, select Microsoft Print to PDF
  9. Click Ok
  10. Back in the pop-up, click Print
  11. Name the file Appointments_YEAR (e.g. Appointments_2025) and click Save
  12. Repeat steps 2-11 for each year of appointments you’re looking to bring over. We recommend exporting up to 10 years’ worth of appointments.

⚠️ Please note: You may notice that the Appointment Log files only contain a Doctor’s initials and not their full name. Similarly, there are no Treatment Names specified for the appointments. In a text file, such as a Word document, etc., we will need you to specify the First and Last Name for each Doctor or staff member’s initials. You can also specify a Treatment Name and Duration for each of that individual’s appointments. Here is an example: Jsm = Jane Smith - Adjustment - 15 mins. This file can be uploaded along with the other files in the import, or outlined in a message in the import area.

💡 Helpful hint: While we recognize it’s not ideal to have all of a Doctor’s appointments imported under one Treatment Type, any upcoming appointments that are a different type of appointment (e.g. an Initial Assessment) can be manually edited in the Schedule to the correct treatment following the import.


Exporting Patient Comments/Notes from PMP

If you have been using the comments section of patient profiles to enter notes for patients, these can be exported by following these steps:

  1. Navigate to Reports > Patient Profile
  2. In the pop-up, click Run Report by Clinic
  3. Click the Fill the List using Patient Query button
  4. Follow similar steps outlined in the Patient List section above to chunk the report down into smaller increments, for example, by Patient Number range
  5. Click the Accept button
  6. Under Report Destination, select the Export toggle
  7. Click Run the Report
  8. Once the report runs, save and title the file to include the Patient Number range (e.g. 0-25000) in the filename
  9. For Save as type: select Microsoft Excel Workbook
  10. Click the Save button to save the file to your device
  11. Repeat steps 2-10 for the remaining Patient Number ranges by clicking Delete the Entire List to clear the list, then populate it again by using Fill the List using Patient Query to set the remaining Patient Number ranges.

⚠️ Please note that xls files (i.e. the older version of Excel files) are known to cut off at around the 65,500 row mark. To double-check that your files are not being cut off, you can cross-reference the page number at the very bottom of the exported Excel file with the number of pages listed in the preview at step 8 to make sure the full number of pages is included in the xls file.

đź’ˇ Helpful hint: While the Patient Profile files contain patient demographic info, we still need you to follow the steps above to export your Patient List files as well. The Patient List files are required to complete your import.


Exporting anything else from PMP

For any other data, we recommend reaching out directly to PMP to inquire whether they are able to export additional data on your behalf.


Uploading into Jane

To ensure that your data is uploaded to the correct account, and for security reasons, we do not accept patient data via email. You can upload the files to us in the Settings > Import Data area.

We don’t import billing information as there are formatting issues between the two systems, but we can show you how to manually transition your patient credits and receivables to Jane.
