Importing from TheraNest

Disclaimer: This guide uses our experience importing from different software, as well as any guides different software publish, to assist our customers in transitioning over to Jane. If you have any difficulty downloading your data, it’s best to reach out to your current software provider directly.

What can you expect?

While you’re making the switch over to Jane, TheraNest allows you to export most of your data fairly easily. Below are step-by-step instructions on getting as much as you can export from there, which you can provide to Jane. The instructions below are very important as we require you to let us know a bit of information, and what to expect from us post-import.

What can we import?

  • Client List
  • Chart Data
  • Appointment/Attendance Report (Past + Future)

Exporting your Client List & Session Notes from TheraNest

To export the client list and Chart Data from TheraNest, you can follow the steps below ⬇️

  • Click the Organization tab in the primary navigation bar.
  • In Export Data in side navigation.
  • Select Export All Clients or Export Active Clients.

Note: It is a best practice to try and get as many demographic details as possible. It is also very helpful if the Client List can include whether or not the client is Active Vs Inactive.

For the Chart Data, follow these steps ⬇️

  • Locate Client and open Client Profile.
  • Click the Reports tab and select Notes History.
  • Click Print Notes History for All Cases or Print Notes History for the appropriate Case.

Note: The Notes History for a Client can be found on their Client Profile and must be exported individually for each Client. There is no bulk export option for the Client’s Note History according to TheraNest.

Exporting your Appointments Report (Attendance Report) from TheraNest

This Report displays all Appointments (and their Attendance Status) a Client or Staff Member has scheduled within the specified date range.

Note: This Report can be filtered by Location, Service Type, Duration, Attendance Status, and/or Referral Source of each Appointment.

  • Click Reports in the primary navigation bar and click Detailed Attendance under the Appointments section.
  • Set Report Date Range if desired. It defaults to one month.
  • Set additional Filters if desired: Locations, Service Types, Session Type, Attendance Status, and/or Billing Status.
  • Click Run Report.
  • You should see the option to download this as an Excel or CSV file on the top right-hand side.

Naming your Files

This is an important step and helps us during the import process accurately identify which patient the charts belong to. There are a couple of ways to name the file, but the following works best: FirstName_LastName_Identifier

You can choose which identifier makes sense for you and is easiest. This can be a unique patient number for the patient that’s present on the patient list export as well or a date of birth formatted yyyymmdd.

TheraNest Billing Data

We don’t import historical billing information as there are formatting issues between the two systems, however, we have a great guide on Transitioning Your Clients Credits/Receivables to Jane that you can follow along with to ensure that’s entered into Jane for you should you need to carry these over.

Uploading into Jane

To ensure that your data is uploaded to the correct account, and for security reasons, we do not accept patient data via email. You can upload the files in the Settings > Schedule an Import area.

You can upload the .zip file (or files if there are multiple clinicians) as-is into the import along with any report files (Client Details, Appointment Status, etc.) directly into the import. If you password-protected your zip file, please remember to include the password in a message in the secure import area.
