What can you expect?
Coming from PTEverywhere, we’ve successfully brought over patient lists, past & upcoming appointments, and charts, which include treatment notes and documents. Below you’ll find step-by-step instructions for how you can export your data when you’re feeling ready to make the switch to charting, billing and booking in Jane 💙
What can we import?
Exporting your Patients from PTEverywhere
To export your full patient demographics from PTEverywhere, you’ll want to export both the Demographics report and the Patient report:
- Log in to your PTEverywhere account
- Navigate to Reports > Demographics report and click Apply
- Click Export to CSV
- Repeat the above steps for the Patient report
The Patient report contains Active/Inactive status information, which we use to import your patients with the correct status.
Exporting your Appointments from PTEverywhere
To export your past & upcoming appointments from PTEverywhere, you can navigate to the General Visit report. From there, set the date range to include both past and future appointments so everything is captured in one export:
- Navigate to Reports > General Visit report
- Filter the date range to capture both past and future appointments
- Click Export to CSV
If you don’t see the General Visit report in PTEverywhere, you can export the Charting Report instead. We’re able to import appointments from that report, but it will only include past appointments.
Exporting your Charts from PTEverywhere
PTEverywhere can provide a bulk export of your clinic’s data. This export includes patient demographics, past and upcoming appointments, treatment notes saved as PDFs, and any uploaded documents.
To bring your charting over from PTEverywhere, we recommend requesting this bulk export directly from their support team. This is a helpful first step when you’re preparing to move your data into Jane.
The bulk export will include the Demographics and General Visit reports. We also recommend exporting the Patient report and uploading that file as well. This helps ensure patients are imported with the correct status, such as active or inactive.
Manually Exporting Treatment Notes & Documents
If requesting the bulk export from PTEverywhere isn’t feasible for your clinic, that’s okay too. You can also manually export treatment notes and download uploaded documents for each patient.
To download the full record of a patient’s treatment notes to PDF:
- Navigate to Charting
- Click Batch Download
If needed, you can also download individual files from a patient’s Documents tab by clicking the More menu next to each file.
Naming your Manually Exported Treatments Notes & Documents
Please pay careful attention to how the Treatment Note PDFs are named by following our guide. This helps ensure everything imports correctly.
If you’ve downloaded documents as well, we recommend organizing them before uploading:
- Create a folder for each patient (FirstName_LastName_PatientID# or Birthdate in YYYY-MM-DD)
- Add that patient’s Treatment Note PDF and any related documents to their folder
- Create a main folder called Treatment Notes & Documents and place all patient folders inside it
- Zip the Treatment Notes & Documents folder
- Upload the resulting .zip file during the import
😅 If the steps above feel a bit overwhelming, we recommend requesting the bulk export from PTEverywhere instead.
A Note on Insurance Policies
If you have entered insurance information, such as Payor and Subscriber/Member ID details in PTEverywhere, this information may appear in the Primary, Secondary, and Tertiary Payor columns in the Patient report, or in the Insurance report.
If you didn’t use insurance in PTEverywhere, you can collect insurance information from patients through an intake form in Jane.
For any additional data you’re looking to bring over, we recommend reaching out to PTEverywhere to ask about what export options are available.
Uploading Your Data into Jane
Thanks for following all those steps to export your data - you’re a data wrangler extraordinaire 🤠
The final step will be to upload your data in the import in Jane. You can navigate to Settings > Import Data to securely upload the Demographics, Patient, and General Visit CSV files and/or the bulk export .zip file.

PTEverywhere Billing Data
When moving over from another software to Jane, the one thing we like to make note of is the fact that we can’t import billing data. This type of data is quite complex and does not transfer between software, as each software formats this data differently. It’s best to keep any records you need on hand securely outside of Jane, but we can help guide you through how to manually transition your patient credits and receivables to Jane.
If you’d like to store your billing invoices from PTEverywhere outside of Jane, you can download any selected patient’s lifetime invoices in the Payment tab by clicking Batch Download.
