Importing from TheraLink

What can you expect?

Coming from TheraLink, we’ve successfully brought over Client Demographics, Appointments, Chart Notes, and Documents from this system. Below you’ll find step-by-step instructions for how to export your data when you’re feeling ready to make the switch to charting, billing and booking in Jane 💙

What can we import?

  • Client List (with demographic data)
  • Appointments (Past + Future)
  • Chart Data + Documents

To export your Client List from TheraLink, please follow these steps:

You can export profiles from the My Clients, All Clients, Providers, Owners, Manages and Colleagues tabs in the Profiles section.

‼️ Note: Managers and Owners can view profile exports initiated by other providers, colleagues, and clients under the Exports tab in the Documents section.

  1. Select the appropriate tab (most likely All Clients), then click the Export Profiles button to export those profiles.
  2. Click the OK button on the Export Requested pop-up box.
  3. Click on the Exports tab in the Documents section.
  4. Click the Download button to export the Client List as an Excel or CSV file.

If the Active Vs Inactive status is not provided in the Client List, all clients are imported as active unless otherwise specified.

Appointment records (Past + Future) can be exported from TheraLink from the Schedule directly. Here are the steps to export your appointments:

  1. Click the CSV button at the top of the schedule.
  2. Enter a Start and End for the appointment date range you want to export. It is best to capture all data 💡
  3. Click the Start button to generate the report.
  4. Click the OK button on the Export Requested pop-up box.
  5. Click on the Exports tab in the Documents section.
  6. Click the Download button to export the Appointments Report as an Excel or CSV file.

Here’s how you can export chart data from TheraLink:

‼️ According to their support documentation, only signed chart data can be exported and may need to be filtered by the practitioner as you export the data.

  1. Click on the Profile section.
  2. Select the appropriate tab, then click the Export Notes button.
  3. Click the OK button on the Export Requested pop-up box.
  4. Click on the Exports tab in the Documents section.
  5. Click the Download button to save the .zip file containing the chart notes from TheraLink.

Here’s how you can export the documents from TheraLink:

  1. Head to the Documents section
  2. Click the Export Documents button at the top of the Owned by Me and Shared with Me tabs to export each document list, or click the Export Practice Documents button to export all documents for the practice.
  3. Click the OK button on the Export Requested pop-up box.
  4. Click on the Exports tab in the Documents section.
  5. Click the Download button to save the .zip file containing the chart documents from TheraLink.

💡 Helpful hint # 1: If you are exporting chart data for multiple practitioners, you will want to make sure the data is organized by staff member so we can correctly identify who the author of the chart data is for the import process.

💡 Helpful hint # 2: If you happen to open the zip file before uploading it to Jane, please re-zip the file again before uploading it into the Import Request. You can read all about Zipping Files Here 😊

Uploading Your Data into Jane

Thanks for following all those steps to export your data - you’re one tough cookie 🍪

The final step will be to upload your data in the import in Jane. You can navigate to Settings > Schedule an Import > View Details to securely upload the data you exported from TheraLink.

We aren’t able to import billing information such as Accounts Receivable or Credits as there are formatting issues between the two systems, but our understanding is that TheraLink allows for the export of your billing data to back up files prior to your subscription expiring, so you can retain access to this information after your TheraLink access has ended. We would recommend reaching out to the Support Team over at TheraLink
