What can you expect?
While you’re making the switch over to Jane, ChiroSpring allows you to export most of your data fairly easily. Below are step-by-step instructions on getting as much as you can export from there, which you can provide to Jane. The below instructions are very important as we require you to let us know a bit of information, and what to expect from us post-import.
What can we import?
Exporting your Client List from ChiroSpring
ChiroSpring allows you to export your Client List to a CSV file, which can then be opened in CSV.
To export the client list, you can follow these steps below as shown in this guide 🔍
- Head to the Reports section
- Select Patient Listing
- Click Search
- Next,Select patients from all pages
- Click Action
- Select Export CSV
Exporting your Appointments from ChiroSpring
To export your appointments from ChiroSpring, you can follow these steps as listed in their helpful guide 💡
- Head to Reports
- Click Appointments
- Select Listing
- Set your Date Range (use a custom range covering full appointment history — past + future 📆)
- Filter by Category (New Patient, Adjustment, Follow-Up, etc.) and Status (Scheduled, Cancelled, No Show, Rescheduled)
- Hit the Search button
- Click the blue Action button
- Select Export to Excel
Exporting your Charts (Notes, Forms & Documents) from ChiroSpring
ChiroSpring doesn’t have a built in bulk export tool for these, so you may need to export this one client at a time. Their support guide goes over this in detail 💭
Treatment Notes
- Search for the patient in the top search bar and select them
- Open their patient menu and click Treatment Notes
- Scroll down and expand to show all notes on one page, then select all
- Click Generate PDF Report
Client Documents (forms, uploads)
- Search for and select the patient
- Open their patient menu and click Documents, then All Documents
- Select the documents you’d like to export
- Click Download Selected Files
After the files have been exported, you’ll want to add each patient’s chart data to its own unique folder labelled something like FirstName_LastName_UniqueID (such as a ID #, DOB, etc) which matches the client list. Once all of the folders are prepared, you can add them into one main folder 💭
Next, zip or compress that main chart export folder 📁 so that you can upload this to Jane easily alongside your client list and the appointment report 😊
Note: If exporting everything yourself feels like too much, ChiroSpring offers to do it for you. They’ll pull your treatment notes, forms, and uploaded documents and send you a secure download link within 5–7 business days. It’s a paid service on their end — 1,000$ — so it’s worth weighing against the time it’d take to export patient by patient yourself. This export is specifically for all chart data it sounds like so we recommend reaching out to their support team should you need assistance with this 💭
ChiroSpring Billing Data
We don’t import historical billing information as there are formatting issues between the two systems, however, we have a great guide on Transitioning Your Clients Credits/Receivables to Jane that you can follow along with to ensure that’s entered into Jane for you should you need to carry these over.
For step-by-step instructions on how to export your data from ChiroSpring, including screenshots, you can refer to this Exporting Data From ChiroSpring guide provided by ChiroSpring.
Uploading into Jane
To ensure that your data is uploaded to the correct account, and for security reasons, we do not accept patient data via email. You can upload the files to us in the Settings > Import Data > Schedule Import area.
You can upload the .zip file (or files if there are multiple clinicians) as-is into the import along with any report files (Client Details, Appointment Status, etc.) directly into the import. If you password-protected your zip file, please remember to include the password in a message in the secure import area.
You can find an overview of this process here: Scheduling Your Import
