What can you expect?
Coming from GOrendezvous, weâve successfully brought over Patients, Appointments, and Charts. Below youâll find step-by-step instructions for how you can export your data when youâre feeling ready to make the switch to charting, billing and booking in Jane đ
What can we import?
Exporting your Patients from GoRendezvous
To export your client list from GoRendezvous, please follow these steps as outlined in GoRendezvousâs guide on Export my client list:
- Click on Clients
- Select the employee whose clients you would like to export, or default it to all
- Click on Export Clients
- Click on the âClients.xlsxâ file that you just downloaded.
Note: The download could take a few minutes to a few hours, depending on the file size đ˘
Exporting your Appointments from GoRendezvous
To export your appointments from GoRendezvous, they provide a scheduling report tool. As described in GoRendezvousâs guide on Printing a condensed or detailed schedule:
- Click on the Printer Icon from the main menu đ¨ď¸
- Click on Print schedule
- Choose between a detailed or condensed schedule, and choose the options to display
- Click Refresh
- Export to Excel if available or save the report as a PDF by clicking the Print button.
Note: Exporting this data in Excel or CSV format is preferred, but we can see if we can work with the PDF version if the other formats are not available đ
Exporting your Charts from GoRendezvous
GoRendezvous refers to patient charts as Client Files. These must be exported one client at a time. To export them, follow the steps in GoRendezvousâs guide on Export client files:
- Click on Charting đ
- Click on Charting again đ
- Select the client file you wish to export
- Click the printer icon in the top right corner of the file
- A new window will open, click on Print
- At the destination option, select Save as PDF from the drop-down menu
- Rinse and Repeat as needed
Note: GOrendezvous does allow the export of client files (charts), but this process must be done one client at a time. We would recommend reaching out to their support team directly to see if any Bulk Chart Export options exist đ
đď¸ Naming your Files
To import the chart data, you will need to create a folder for each patient titled FirstName_LastName_UniqueID# (e.g. Jane_Smith_12345) and drag their chart files into the folder. This allows us to accurately map the files to the correct patient. If there is no Unique ID in the client list report from GOrendezvous, please use another identifier, such as Date of Birth, for the client folders đłď¸
To specify the chart author (if needed) for the files, you can create a separate folder for each staff member and then place all of their respective patientsâ folders into that folder. The final step will be to zip the folder for each staff member and upload the zip files into the import. We have a handy guide that helps walk you through How to Make a Zip File đ
Uploading Your Data into Jane
To ensure that your data is uploaded to the correct account, and for security reasons, we do not accept patient data via email. You can upload the files to us in the Settings > Import Data > Schedule Import area.
For a walkthrough of the import process from start to finish, please review our guide on Scheduling Your Import
You did it! Once the files have been uploaded and youâve clicked the Done button in the import, weâll get started on bringing in your data as soon as we can and reach out if we have any questions. We look forward to having you join the Jane community đ¤Š
GoRendezvous Billing Data
When moving over from another software to Jane, the one thing we like to make note of is the fact that we canât import billing data. This type of data is quite complex and does not transfer between software, as each software formats this data differently. Itâs best to keep any records you need on hand securely outside of Jane, but we can help guide you through how to manually transition your patient credits and receivables to Jane.
Weâve leveraged our experience with various software imports, along with official guides from other software providers, to create this comprehensive resource for transitioning to Jane. For questions about downloading your data, we recommend first reaching out to GOrendezvous, as theyâre the experts on their system. If you have any further questions or need additional support, please donât hesitate to contact us â weâre here to help!
