Importing from Carepatron

Coming from Carepatron, we’ve successfully brought over Patients, Past + Future Appointments, and Charts. Below you’ll find step-by-step instructions for how you can export your data when you’re feeling ready to make the switch to charting, billing and booking in Jane 💙

What can we import?


Exporting your Patients from Carepatron

To export your patient list from Carepatron, please follow these steps as outlined in their guide:

  • Start by logging into your account and selecting the Clients section from the main dashboard.
  • Hover over the clients whose information you want to export.
  • Check the checkboxes next to each client. You can select multiple clients at once ✅

Note: Select all clients at once if you can 💭

  • Once you’ve selected your clients, look for the three dots ( ••• ) at the bottom right of the screen.
  • Click on these dots to open the More Actions menu.
  • In the More Actions menu, choose the Export option 📤
  • The system will automatically export all the information stored in the client’s record under the Personal tab.

What’s Included in the Export?

The export will include all the information in the client’s Personal tab, such as ⬇️

  • Contact details (e.g., phone number, email address)
  • Demographic information (e.g., date of birth, address)
  • Any other data fields filled out in the Personal tab
  • The report will be in CSV File Format

Exporting your Appointments from Carepatron

To export your past & upcoming appointments from Carepatron, please follow these steps as outlined in their guide:

  • Go to Calendar 📅
  • Go to More Actions > select Export
  • Select the Date range, Time Zone, and Team members
  • Click Export when the data has been selected 🔎
  • Once the export is complete, direct your attention to the bottom right corner of your screen, and click the Download button 🔘

Note: Once that is done, you will have a .zip folder 📁 with all your appointment’s information in CSV File Format 🔑


Exporting your Charts from Carepatron

To export the Charts/Notes from Carepatron, please follow these steps: - To download clients’ notes, go to each client record and, in Documentation, download each note individually.

Note: We would recommend reaching out to the Support Team from Carepatron to see if they have any options to help support you with a Bulk Chart Export of this particular data set.

🗂️ Naming your Files

To import the chart data from Carepatron (if downloaded manually), you will need to create a folder for each patient titled FirstName_LastName_UniqueID (e.g. Jane_Smith_123456) and drag their chart data and any other files into the folder. This allows us to accurately map the files to the correct patient. An example of a Unique ID # could be the Client ID # usually found in the Client List, OR even something such as their Date of Birth.

To specify the chart author for the files, you can create a separate folder for each staff member and then place all of their respective patients’ folders into that folder. The final step will be to zip the folder for each staff member and upload the zip files into the import request. We have a handy guide that helps walk you through How to Make a Zip File 📁


Uploading Your Data into Jane

Thanks for following all those steps to export your data - you’re doing great 😊

The final step will be to upload your data to the import in Jane. You can navigate to Settings > Import Data > Schedule Import to securely upload the data you have exported from Cerpatron (Client List, Appointments Report + Chart Data).

Cerpatron Billing Data

When moving over from another software to Jane, the one thing we like to make note of is the fact that we can’t import billing data. This type of data is quite complex and does not transfer between software, as each software formats this data differently. It’s best to keep any records you need on hand securely outside of Jane, but we can help guide you through how to manually transition your patient credits and receivables to Jane.


We’ve leveraged our experience with various software imports, along with official guides from other software providers, to create this comprehensive resource for transitioning to Jane.
