Importing from EZFacility

What can you expect?

Coming from EZFacility, we’ve successfully brought over clients and past & future appointments. Below you’ll find step-by-step instructions for how you can export your data when you’re feeling ready to make the switch to charting, billing and booking in Jane 💙

What can we import?


Exporting your Clients from EZFacility

To export your client list from EZFacility, please follow these steps:

  1. In EZFacility, click on the Administration tab
  2. Scroll down and click on Export Clients under the Client Administration section
  3. To export your complete client database, keep All Contacts selected in the dropdown
  4. Click Generate Report
  5. Once the report has generated, click the Save icon 💾
  6. Select Excel
  7. Click Save to save the file to your device

Next, to ensure any inactive clients are labelled as inactive in Jane, you’ll want to also generate a list of inactive clients by following these steps:

  1. From the same Export Clients page, select Inactive Clients from the dropdown
  2. Click Generate Report
  3. Once the report has generated, click the Save icon 💾 > Excel
  4. Title the file Inactive Clients and click Save

Once you have the complete client list + inactive client list files, both files can be uploaded into the import area in Jane.

Exporting your Appointments from EZFacility

To export your past & upcoming appointments from EZFacility, please follow these steps:

  1. In EZFacility, click on the Reports tab
  2. Scroll down and click on Attendance Report under the Marketing Reports section
  3. Select a start date in the desired report start date field
  4. Select an end date in the desired report end date field (don’t forget to filter past today’s date to capture upcoming appointments!)
  5. Leave the other dropdown fields as Show All
  6. Click Generate Report
  7. Once the report has generated, click the Save icon 💾 > Excel
  8. Click Save to save the file to your device

💡 Helpful hint: In case exporting the full date range of appointments causes EZFacility to timeout, you can generate and export the report year-by-year. All the appointment files can then be uploaded in the import.

Uploading Your Data into Jane

Thanks for following all those steps to export your data - you’re a catch ⚾️

The final step will be to upload your data in the import in Jane. You can navigate to Settings > Schedule an Import > View Details to securely upload the complete client list file, the inactive client list file, and the appointments Excel files.

EZFacility Billing Data

When moving over from another software to Jane, the one thing we like to make note of is the fact that we can’t import billing data. This type of data is quite complex and does not transfer between software, as each software formats this data differently. It’s best to keep any records you need on hand securely outside of Jane, but we can help guide you through how to manually transition your patient credits and receivables to Jane.
