What Do My Dashboard Metrics Mean?

The Practitioner Dashboard is organized into sections, each covering a different area of your activity. This guide explains what each metric represents and how it’s calculated.

Dashboard Metrics Reference

Primary Metrics

Total Patient Count

The number of unique patients who had an arrived appointment within the date range. The graph breaks this down by new and returning patients.

  • A patient is counted as new if at least one visit during the date range was their first ever visit to the clinic.
  • A patient is counted as returning if all of their visits during the date range were repeat visits.

📣 Heads up: This metric counts patients who are new to the clinic overall, not new to you specifically. For patients who are new to you as a practitioner, see the New Clients metric under Patient Metrics.

Total Visits

  • The number of arrived appointments within the date range.
  • If the same patient visits multiple times, each visit counts towards the Total Visits.

Utilization

The percentage of your scheduled shift time spent seeing patients. Calculated as:

(Booked Time) / (Shift Duration - Break Time)

  • Booked Time: Total time occupied by arrived and no-show appointments. Cancelled, deleted, and rescheduled appointments are excluded.
  • Shift Duration: Total duration of all scheduled shifts within the date range.
  • Break Time: Total time blocked as breaks. Breaks are excluded because you aren't expected to be booked during time you've intentionally set aside.

Total Billed

The total invoiced amount for appointments and products within the date range, including insured invoices.

Total Collected

The total payments collected within the date range that were applied to invoices assigned to you.

📣 Heads up: Total Collected may not match Total Billed for the same period. Outstanding invoices may not yet be paid, or a payment may have been applied to an invoice from outside the selected date range.

These financial metrics are only visible if financial metrics have been enabled for your account by an Account Owner or Full Access user.

Your Chart Entries

This section shows the status of your chart entries for arrived appointments within the past 90 days, broken down by signed, draft, and not started.

  • Click Signed or Draft to go to your charting area, pre-filtered to show charts with that status.
  • Click Not Started to go to the Appointments Report, pre-filtered to show your arrived appointments from the past 90 days that don't have a chart linked.
  • Click View All to go to your charting area without a status filter applied.

Creating or linking charts from the Appointments Report

When you click Not Started, the Appointments Report opens filtered to appointments with no chart attached. The Add Chart button shows up in the Chart Status column for appointments with a status of Booked or Arrived. From there:

  1. Click Add Chart next to an appointment.
  2. In the pop-up window, choose one of the following options:
    • To link an existing chart: The window displays your draft chart entries for that patient by default. Use the status, date range, or search filters to find the right chart. Charts already linked to another appointment are marked with a calendar icon. Select the chart entry and click Add Chart to link it to the appointment.
    • To create a new chart: Click New chart entry and select a template. The charting area opens in a side panel, already linked to the appointment. Fill out and sign the chart, then close the panel to return to the Appointments Report.

🩵 Jane Tip: Use this view to quickly spot and resolve charting gaps. Creating a chart directly from the Appointments Report saves you the step of manually linking it to the appointment afterward.

Your Supervised Chart Entries

If you supervise other staff members, this section shows the chart status for all of their entries.

  • Click a chart status to see a filtered list of those charts.
  • Click View All to go to your Supervision tab, where you can review all charts from the staff members you supervise.

Top Treatments

Shows your most frequently booked treatment types within the past 365 days, along with a count for each.

This section cannot be filtered by a custom date range.

To see which patients came in for specific treatments, use the Appointments Report. For an overview of treatment types booked within a specific date range, use the Product Performance Report.

Patient Metrics

This section provides retention data for the past 365 days.

Average Visits Per Patient

The total number of arrived appointments divided by the number of unique patients from those appointments.

New Patients

The number of patients who had their first visit with you specifically within the past 365 days.

This is different from the Total Patient Count metric at the top of the dashboard, which reflects patients who are new to the clinic overall.

Top Patients

This section lists your top 10 patients within the past 365 days.

  • By default, patients are ranked by total number of appointments.
  • Arrived and no-show appointments are included. Cancelled, deleted, rescheduled, and future appointments that haven't been arrived are excluded.
  • If financial metrics are enabled for your account, patients are ranked by total invoiced amount within the past 365 days. This includes appointment invoices, product sales assigned to you, and insurer invoices. This figure is based on billed amount, not collected amount.

Important Notes

  • Metrics covering a fixed 365-day window (Top Treatments, Patient Metrics, Top Patients) cannot be filtered by a custom date range.
  • Financial metrics (Total Billed, Total Collected, and Top Patients ranked by billing) are only visible when enabled for your account by an Account Owner or Full Access user.
