📣 Heads up: For clients to book a Telehealth (Couples & Families) appointment online and add their own family members as participants, they'll need a Relationship set up in Jane first. See our guide on Patient Relationships for details.
Instructions
- Go to the Schedule and click the date and time you'd like to book the session.
- Open the treatment drop-down menu and select the Telehealth (Couples & Families) treatment you'd like to book.
- Type the primary client's name in the Add Participant field and select them from the results.
- Type each additional participant's name in the Add Participant field and select them from the results.
- Add any additional details, such as an insurance claim or a note.
- Click Book Appointment.
🩵 Jane Tip: If a client hasn't received their reminder email with the video link, you can resend it manually. Click on the appointment in the Schedule and select Re-Send Email Invitation in the Appointment Panel.
What to Expect
Once the appointment is booked, all clients receive a confirmation email. Jane will also send each client a reminder email with a link to join the video call 30 minutes before the session starts. When a client joins the call, a green badge will appear on the appointment in the Schedule indicating that a client is waiting.
One invoice is generated for the primary client. The invoice includes the names of any secondary clients who have been arrived.
Adding or Changing Participants After Booking
To add a participant after the appointment is booked:
- Click on the appointment in the Schedule to open the Appointment Panel.
- In the Participants section, type the client's name into the Add Participant field and select them from the results.
To change the primary client:
- Click on the appointment in the Schedule to open the Appointment Panel.
- In the Participants section, click the blue Booked button next to the client you'd like to make the primary.
- Click Set as Primary Patient.
Important Notes
- The first client added to the appointment is set as the primary client by default. The primary client is the one invoiced for the session.
- Telehealth (Couples & Families) appointments support a maximum of 12 participants per session.
- If a client does not have an email address on file, they will not receive the reminder email with the video link. Make sure each client's email address is up to date before the session.
