How to Complete Your Payroll Setup in Jane

Instructions

Once your clinic's Account Owner or Payroll Admin adds you to Jane Payroll, you'll receive an email invitation to complete your payroll setup. You can either click the link in the email or head directly to your staff profile in Jane to get started.

To find your payroll setup in Jane:

  1. Log in to Jane and open your staff profile.
  2. Click the Payroll tab.
  3. Scroll down and click Get Started.

Your payroll setup has three sections if you're an employee, and two sections if you're a contractor.

1. Personal Information

Enter your basic personal details, including:

  • Legal name
  • Date of birth
  • Home address
  • Social Insurance Number (SIN)

If you're a contractor, you'll also select how you offer your services (as an individual or as a business) and enter the number that reflects your setup, which is either your SIN or your Business Number (BN).

2. Tax Withholding Information (Employees Only)

You'll be asked to enter information from your TD1 forms, one federal and one provincial for the province where the clinic is registered. These forms help determine how much tax should be withheld from your pay.

If you'd like a little more tax withheld from each pay period, enter an amount in the Extra Withholdings field. This can be helpful if you live in a different province than where your clinic operates, since provincial tax rates vary.

3. Direct Deposit / Payment Method

Enter your bank account information for direct deposit. You'll need your:

  • Bank/institution number
  • Transit number
  • Account number

These can be found on a void cheque or through your online banking portal.

📣 Heads up: Double-check that all numbers are correct before saving. Incorrect banking details can cause issues with your direct deposit on pay day.

Optional: Split your direct deposit between multiple accounts

If you'd like to split your pay between more than one bank account, click + Split Pay and choose whether you'd like a fixed amount or a percentage of your pay allocated to each account.

What to Expect

Once you've completed your payroll setup, you're ready for pay day. On pay day, you'll receive an email letting you know your pay stub is available. You can find your pay stub and year-end tax forms (T4 or T4A) in your staff profile under the Payroll tab.

Important Notes

  • If you don't receive the email invitation, you can still complete your payroll setup directly through your staff profile in Jane.
  • The invitation email cannot be resent. If you can't find it, go to your staff profile and click the Payroll tab to begin setup directly.
  • You can update your direct deposit information at any time in your staff profile under the Payroll tab.
  • Your T4 or T4A forms are available under Payroll > Documents in your staff profile.
