Do I Need to Issue an ROE When Changing a Staff Member's Pay Group?

Do I need to issue a Record of Employment (ROE) when moving a staff member to a different Pay Group in Jane Payroll?

Answer

It depends on whether the pay frequency is changing.

If the pay frequency is staying the same (for example, splitting a biweekly group into two biweekly groups on alternating weeks), no additional steps are required outside of Jane. You can move the staff member to the new Pay Group without issuing an ROE.

If the pay frequency is changing (for example, moving from biweekly to semi-monthly), you'll need to issue an ROE for the affected employees through Service Canada. One of the reason code options on the ROE is "Change of Payroll Frequency."
