Instructions
To add prior authorization details to a patient's insurance policy in Jane, follow these steps. Once saved, the authorization appears on the policy and surfaces in the appointment panel when scheduling.
- Open the patient's profile.
- Click Billing under the patient's name.
- Select the Insurance Policies tab.
- Click View next to the relevant policy.
- Click + Add Prior Authorization.
- Fill in the required fields: the prior authorization number and the start and end dates of the coverage period.
- Optionally, enter the number of visits authorized and any notes, such as approved services.
- Click Add.
Editing or Replacing a Prior Authorization
You can update an authorization at any time, or add a new one once the current coverage period ends.
- Open the patient's profile.
- Click Billing under the patient's name.
- Select the Insurance Policies tab.
- Click View next to the relevant policy.
- Select the authorization you'd like to update.
- Edit the details and click Save, or delete the authorization and add a new one.
Deleting a Prior Authorization
- Open the patient's profile.
- Click Billing under the patient's name.
- Select the Insurance Policies tab.
- Click View next to the relevant policy.
- Select the authorization you'd like to remove.
- Click Delete.
What to Expect
The prior authorization details appear on the patient's insurance policy. You can add multiple authorizations to a policy as long as the date ranges don't overlap, so only one authorization can be active at a time. Authorization details can be viewed in the appointment panel's Insurance Info section, so staff can reference them when scheduling.
Important Notes
- Prior authorizations don't currently appear in any reports. For now, we'd recommend reviewing authorizations regularly within each patient's Insurance Policy or in the appointment panel.
- The visit tracker records visits by number, not by CPT units. If your clinic works with unit-based limits, you can use the notes field to track this manually.
- If your clinic works across multiple disciplines that each require simultaneous active authorizations, a workaround is to create a separate policy for each discipline.
- Jane doesn't send notifications when a prior authorization is close to expiring. We'd recommend reviewing authorizations regularly to stay on top of upcoming expiry dates.
