Treatment-Specific CPT Codes

If your clinic uses CPT codes for insurance billing, Jane can help take one more thing off your plate. You can now add a default CPT code to a treatment so it’s automatically included whenever that treatment is booked, whether administratively by staff or online by patients or clients. It’s a simple way to make sure that billing codes don’t get missed and your workflow stays smooth.

Let’s walk through how it works.

Adding a Default CPT Code to a Treatment

Head to Settings > Treatments, Classes & Group Appointments.

Click Edit beside a treatment if you’d like to update an existing one, or New Treatment to add a new one.

In the treatment setup screen, you’ll see a field for Default Billing Code. You can either type in the CPT code if you know it, or search using a keyword — just like you would when adding a billing code to an appointment.

Once you’ve added the code, click Save, and Jane will start automatically adding that CPT code to new appointments booked with that treatment.

❗This only applies to appointments booked after the change is made. It won’t update anything already on the schedule.

💡 Note: The fee associated with the billing code will override the treatment fee — so you’ll want to make sure your CPT codes are set up correctly. If you need a refresher on billing codes, check out our guide on setting up billing codes.


Frequently Asked Questions

⭐️Can I add more than one code?

Just one default CPT code can be added per treatment at this time.

⭐️Will this update appointments that have already been booked?

No — the code will only be applied to appointments booked after the CPT code is saved. Any appointments that were already on the schedule will stay as they are.

⭐️Can I bulk update already booked appointments?

No, there isn’t currently a way to update multiple previously booked appointments all at once. If you need to update those, they’ll need to be edited individually.

⭐️What happens if I already have default billing codes set up in policies?

If a policy or previous visit already includes a billing code, Jane will use that instead of the treatment-level default. In other words, the treatment-level CPT code only applies when there isn’t another billing code already being pulled in.

⭐️If I change a CPT code in Settings > Billing Codes, do I have to update the treatment too?

No — once a CPT code is linked to a treatment, any updates you make to the code itself (like the fee or modifier) will be reflected the next time that treatment is booked.

⭐️What happens if I change an appointment to a different treatment type?

If you switch to a different treatment after the appointment is booked, Jane won’t automatically pull in the new treatment’s default code. You’ll need to update the billing code on the appointment manually if needed.

⭐️Can I add default diagnosis (ICD-10) codes to a treatment?

You’ll still want to add any diagnosis (ICD-10) codes during the visit — Jane won’t fill those in for you.

⭐️How does this work with recurring appointments?

When you set up a recurring appointment, Jane keeps the insurance details from the very first appointment in the series — including any billing codes that were already there at the time. If you add a default CPT code to the treatment after the recurring appointments have been scheduled, Jane won’t go back and add that code to future appointments in the series.

⭐️What happens when I copy an appointment?

When you copy an appointment, Jane brings over all the insurance details from the original — including any billing codes that were already added. If the original appointment had the right billing codes (whether manually added or pulled in another way), they’ll copy over too. But if the original didn’t have any billing codes, Jane won’t look for or apply the treatment’s default CPT code when you copy it, even if that default code was added later.

⭐️Can I use treatment-specific CPT codes for a class or group appointment?

No - currently, they can only be added to a one-on-one appointment.
