Here's all the help you need to use Jane.


Reassigning Appointments (Updating All Imported Appointments At Once)

If you’ve made it here, your import is complete, and you might notice that some of your appointments have “Import” in the treatment name. Don’t worry, this is totally normal.

When we import appointments, we look for a match with an existing treatment in Jane (same name and duration). If we find one, we slot the appointment right into your Schedule. If we can’t find a match, we use the treatment name from your data instead and add “Import” to the title so you know it was created from the import. 🙂

We have a quick and easy way to update your imported appointments with the correct treatment info. All your data has been brought into Jane, so all we need from you is a little help matching each imported treatment to the right one in your account.

There are two ways to do this as a batch:

  1. Already created your treatments in Jane
  2. Haven’t created your treatments yet

Option 1 - Already created your treatments in Jane

If you’ve already created your list of Treatments (or Sessions) in Jane, you can easily match up the imported treatments with your newly created treatments.

Start by heading to Settings > Treatments, Classes & Group Appointments tab:

Scroll down to the bottom of the page and you’ll see the prompt to clean up your treatment list:

After clicking Reassign Treatments, you’ll see your list of active treatments on the left, along with the number of past and upcoming appointments:

Scroll down until you see the treatments with “Import” in the title. These are the ones we’ll need to reassign. For each “Import” treatment, you can click into the dropdown on the right and select the treatment it corresponds to. You can also check the box to the right to archive the “Import” treatment after it’s been re-assigned.

Once everything is matched up, scroll to the bottom of the page and select the “Change Past & Upcoming” option if you also want to update past appointments. Then click Reassign Treatments:


Option 2 - Haven’t created your treatments yet

If this is a treatment that you still offer, but you forgot to create it in Jane, you can go to Settings > Treatments & Classes > and find the imported treatment. Click the Edit button to rename the treatment, assign it to the proper Discipline or Staff Member, add in pricing, and all other required fields, then hit Save to finish.


Additional Notes:

Treatment-specific CPT codes

Please note that, when reassigning treatments, treatment-specific CPT codes will not be applied to appointments that are already on the schedule. You’ll want to add those to your existing appointments manually.

I noticed that the ‘Upcoming Appointments’ Totals in the ‘Reassign Treatment’ area are higher than the actual upcoming booked appointments on the Schedule. Why is that?

This can be a bit tricky! Those numbers don’t just represent booked appointments, but will also take into account appointments of all statuses (i.e. cancelled, deleted etc). Why? Well, reassigning treatments means updating all appointments, regardless of status. This helps keep everything in sync for when you run reports in Jane. It’s like a domino effect but in a good way!

For the other appointments that you’re not seeing on the schedule, you can head over to the Reports tab and then select Appointments.

The default for this report will be All States but you can use the other filters to help narrow down the data a bit. For more information on this report, check out our guide doc on the Appointments Report!
