Instructions

To prepare your patient list for import, export and format your data as described below. Once complete, your file will be ready to upload when you schedule your import.

  1. Export your patient list from your current software. Most software has a reports or export area where you can do this.
  2. Export the file in Microsoft Excel, CSV, or Numbers format with data organized in clearly labelled columns. Here's a sample patient list for reference.
  3. Include as many of the following patient fields as your current software allows. The more information you export, the more Jane's imports team can bring over:
    • First name
    • Last name
    • Date of birth
    • Sex
    • Pronouns
    • Email address
    • Phone number(s)
    • Address
    • Emergency contact name and phone number
    • Billing address (if different from above)
    • Preferred practitioner
    • Notes
    • Unique patient number (if your current software assigns one)
  4. If your current software assigns patients a unique number, include that field in your export. Jane's imports team uses it to match appointments and charts to the correct patient profile.

📣 Heads up: If your data doesn't meet the file format requirements, do not use AI or online file conversion tools to reformat it. These services may store or process your files in ways that expose personal or sensitive information to unauthorized third parties. Message the imports team through Jane instead, and they can help you reformat your data safely.

What to Expect

Jane's imports team reviews your patient list and maps each field to the corresponding area in Jane. They'll reach out if they have questions about your data. Once the import is complete, your patient profiles are available in Jane, ready for use.

Important Notes

  • Export as much information as you can. If you can get it out of your current software, Jane's imports team can likely bring it into Jane.
  • Patient list files must be in Microsoft Excel, CSV, or Numbers format with clearly labelled columns.

You're all set to get your patient list ready for import.
