Setting Up 2-Step Verification Using an Authenticator App

We strongly recommend the authenticator app option for 2-Step Verification. It's more secure than SMS, and if you choose an app that syncs across multiple devices, you can use it on your desktop or laptop as a backup if you ever lose access to your phone.

Getting Started

Before you get started, you'll need to choose and download an authenticator app. You can use any app that follows standard TOTP (Time-based One-Time Password) specifications.

🩵 Jane Tip: It's a good idea to choose an app that syncs across multiple devices so you can access your codes on a desktop or laptop if you lose your phone.

On iOS devices, your verification codes are usually saved in the Passwords app by default. Codes are generated automatically and appear above your keyboard when you need them. You can also open the Passwords app and tap your account to copy the code.

Instructions

To set up 2-Step Verification using an authenticator app, follow these steps. Once complete, Jane will prompt you for a verification code from your app each time you log in.

  1. Click your name in the top right corner of Jane and select My Account. On a mobile device, tap the circle with your initials in the upper right corner and select My Account.
  2. Select 2-Step Verification from the left menu.
  3. Click Set Up in the Authenticator App section.

  1. Enter your password and click Next.
  2. Open your authenticator app, add a new account, and either scan the QR code displayed in Jane or enter the setup key manually.

  1. Click Next in Jane.
  2. Enter the code your authenticator app displays and click Submit.
  3. Save your Recovery Code somewhere secure. You can copy it or download it as a PDF.

📣 Heads up: Your Recovery Code is a one-time-use backup code for situations where you can't access your authenticator app. Store it somewhere safe, like a password manager or secure cloud storage.

What to Expect

Once set up, Jane will prompt you for a verification code from your authenticator app each time you log in. Your authenticator app generates a fresh code every 30 seconds. If 2-Step Verification is enforced clinic-wide and you haven't set it up yet, you'll be prompted to do so the next time you log in.

🩵 Jane Tip: If you've set up more than one 2-Step Verification method, you can choose which one is your default from the 2-Step Verification tab in your My Account area.

Important Notes

  • Authenticator app codes are not transmitted over cellular or internet networks, change every 30 seconds, and are phishing and SIM-swap resistant, making them more secure than SMS codes.
  • Authenticator apps don't rely on cellular service or an internet connection, so you can use them even with spotty reception or when your device is offline.
  • If you're having trouble entering your code, wait for the code to refresh and try again. If you're still having difficulty, check that the clocks on both devices are set to the same time.
  • If your clinic uses shared devices, consider a password manager with built-in authentication, like 1Password, Bitwarden, or LastPass, as these can be shared securely across a team.
