This guide walks you through every step of switching from the Payfirma Integration to Jane Payments so that the process feels clear and manageable. Most clinics will be able to complete the active admin in about 15 minutes per payment account.
One step that needs a little extra care is re-collecting your clients’ credit card details. Jane is fully PCI-compliant, which means we never store full credit card numbers in your account, so each client’s credit card information will need to be collected again.
Fortunately, Jane Payments includes multiple additional tools that help you collect cards quickly and securely.

1. 🏦 Start: Set up Jane Payments
This first step usually takes 5-10 minutes.
How to sign up
- In Jane, go to Settings → Jane Payments
- Click I’m in, let’s do this and follow the prompts
- Once your account is active, you can start processing payments right away
After signing up
Once your Jane Payments account is active (more on that in Step 3), it’s ready to start taking integrated payments.
- When you’re ready, you’ll disconnect Payfirma (see Step 3) so every new card and payment is stored in Jane Payments
- You’ll re-collect your clients’ credit card details in Jane Payments (see Step 4)

2. 🧾 (Optional) Order your Jane Payments Terminal
Jane Payments offers both integrated online payments (like your Payfirma integration) and an integrated POS or terminal. If you take payments via POS or terminal, this can be a great time to unify your in-person and online payments directly inside Jane.
This simplifies reporting, payouts, and transactions by keeping everything in one place, with no manual payment entry. Reconciliation is easier since each payment links directly to the correct client and visit.
You can order a terminal directly from Settings → Jane Payments:
- $279 CAD + applicable taxes (Canada 🇨🇦)
- $239 USD + applicable taxes (US 🇺🇸)

3. 💳 Remove the Payfirma Integration
Before you start collecting updated card details, there’s one key step that keeps everything organized.
When Payfirma is still connected, Jane can’t reliably tell whether a new card should be saved to Payfirma or Jane Payments. This can lead to cards being saved in the wrong place. Removing the Payfirma integration ensures all new cards are stored securely in Jane Payments.
Before you remove Payfirma, confirm:
- Your Jane Payments account shows as Active in Settings → Jane Payments
- You no longer see the red banner that says “Some more information needs updating in your account.”
Once everything looks good, you can safely remove the Payfirma integration.
How to deactivate Payfirma
In Jane, go to: Settings → Jane Payments → Payfirma → Pencil icon
From here, click Delete at the bottom of this page.
After removing the integration, you can contact Payfirma Support to close your account:

Once your Payfirma account is closed, any refunds for past Payfirma transactions will need to be issued outside of Jane and recorded manually (for example, as a cash refund), since Jane can’t process them once the integration is removed.
4. 💵 Collect updated cards in Jane Payments
Cards stored in Payfirma won’t be transferred to Jane Payments. Because Jane is fully PCI-compliant and doesn’t store full card numbers, you’ll need to re-collect your clients’ card details.
The good news is that you can do this passively over time using Jane Payments. There are several secure ways to gather updated cards, and you can choose what fits best with your clinic’s workflow.
Ways to gather updated card details
As you collect new cards, they’ll appear under Billing → Credit Cards in each client’s profile. You can mix and match any of the options below.
Collect Credit Cards on Intake Forms
- Best for: New or returning clients filling out intake forms
- How it works: Add the credit card step to your intake forms and choose whether it’s optional or required. The Intake Form will only request card details if the client does not already have a card on file.
Online Booking Credit Card Policy
- Best for: Clinics with lots of online bookings
- How it works: Require a card on file or payment at booking. Clients enter their card when confirming the appointment.
Paying Balances Online
- Best for: Clients with outstanding balances or who prefer online payments
- How it works: Send a secure link via email or SMS. When the client pays, Jane saves the card (with permission).
Add a Credit Card in the Client Portal
- Best for: Clients who prefer self-serve options
- How it works: Clients can add or update cards from their My Account page at any time.
Saving Credit Cards from the Jane Payments Terminal
- Best for: Clinics with regular in-person visits
- How it works: When clients tap, chip, or swipe at checkout, you can save the card to their profile for future visits.

If you’d like to give clients a heads-up about re-collecting card details, here are a few optional communication ideas with sample wording.
Online Booking Banner
- Go to Settings → Language → Notice / Message on Online Booking Pages
- Sample message:
> “For existing clients, you’ll be prompted to re-enter your credit card the next time you book as part of a payment system update.”
Confirmation or Reminder Emails
- Go to Settings → Language → Reminder Email: Details
- Sample message:
> “As part of a payment system update, you may be prompted to re-enter your credit card details. Your card will be stored securely in your account.”
Front-Desk Script
- Sample message:
> “We’ve upgraded to a new payment system in Jane, so we’re collecting updated credit card details. It only takes a moment, and your information will be saved securely for future visits.”
