Getting Started

How do I get started with AI Scribe?

The first step is enabling AI Scribe for yourself or your practitioners in Jane. Head to Settings > AI Scribe and then click the blue toggle next to the practitioners you’re opting in.

How much does AI Scribe cost?

AI Scribe is $15 per practitioner, per month. You can enable it for one team member or everyone, it’s up to you.

Where is AI Scribe available?

It’s currently available for Jane users in Canada 🇨🇦 and the US 🇺🇸. We’ll keep you posted as it becomes available in more regions.

Can I use it on my phone or tablet?

Yes, AI Scribe works wherever you can log into Jane — Mac, Windows, iOS, or Android.

Is AI Scribe HIPAA compliant?

You bet it is! Jane (including AI Scribe) is HIPAA, PIPEDA, and PHIPA compliant. Recordings made from within Jane are secure, and we recommend recording directly in Jane for this reason. If you do record outside of Jane and then upload your recordings, we recommend avoiding using your personal device if possible.

Consent rules vary by region, so check with your College or Board. Some clinics ask for consent in their intake forms; others create a separate form. Here’s an example from a Front Desk article on how to talk to clients and get consent that you can adapt:

“With your consent, I’ll be using an AI-powered note-taking assistant during our session. It helps me focus more on our conversation by drafting notes in real time. I’ll review everything before anything is saved, and you can ask me to stop using it at any time. Do you consent to me using an AI-powered note?”

Do I need a special intake form to use AI Scribe?

No, AI Scribe is one of our charting features – it doesn’t interact with intake forms. That said, some clinics edit their intake forms to let patients know that AI Scribe is going to be used.


Templates

How do I add AI Scribe to my templates?

AI Scribe works by using a chart part called the Smart SOAP Note. You can add this chart part to existing templates, create new templates, or browse the template library for inspiration.

Does it work with all chart templates?

Yes, AI Scribe can be used in any chart template by adding the Smart SOAP Note to your template. You can even set it up to create multiple outputs (like a chart note and a referral letter) from a single recording.

Where can I find discipline-specific templates?

We’ve heard lots of interest in templates tailored to specific disciplines, and we’re working on it.

Recording & Prompts

My notes feel too general. How do I make them more specific?

Try refining your prompt. The more detailed your instructions, the more tailored your results. You can tell AI Scribe to use clinical language or highlight specific details. Our Sample Prompts guide has lots of specific examples you can pull from.

What if I didn’t say the treatment plan out loud?

No problem! You can add another recording to your Smart SOAP Note (just click the microphone icon and choose Record Audio) and dictate the treatment plan details. Alternatively, you can write it out manually since the chart note is editable even after you’ve uploaded a recording.

Can AI Scribe ignore the chit chat at the start of sessions?

AI Scribe focuses on clinical content by default, but you can guide it by customizing your prompts. Our Sample Prompts guide is a great place to start.

How can I get better audio quality?

Quiet spaces and good mics help. Your device’s built-in mic will work well, but an external mic (like the RØDE Wireless ME) can make a noticeable difference.

Can AI Scribe work in virtual sessions?

Great question! The tricky part about online appointments is getting a recording of both people in the session, since they’re not in the same room. When you record audio in Jane, AI Scribe will only “hear” the audio that’s being picked up on one microphone, so if you’re wearing a headset, your microphone will only pick up your own voice.

If you can record the voice of the practitioner and the patient in the session, then you can try uploading it to see what happens, but this is not a workflow that has been extensively tested.

We are working on a way to improve AI Scribe for online appointments (telehealth), so stay tuned for updates.
