Template and chart prompts let you customize how AI Scribe generates chart drafts for specific treatment types or sessions. They work alongside your Global Prompt, which applies standing instructions across all your charts.

Option 1: Edit a Prompt in a Template

To customize the AI Scribe prompt in a chart template, follow these steps. Once saved, the updated prompt will apply every time that template is used.

  1. Go to your Staff Profile and click Templates under your name.
  2. Click New Template to create a new one, or click Edit next to an existing template.
  3. Click Add Item and select Smart SOAP Note from the list.

  1. Click the three dots in the upper right, and select the pencil icon.

  1. Edit the text in the Prompt field. Click Show Prompt Snippets to browse suggested prompts and formats like DAP or BIRP.
  2. Select Narrative or Point Form from the Format dropdown.
  3. Check Include the last 10 signed charts to include charts you've authored for the patient when generating the chart.
  4. Check Include most recent intake form to include the questionnaire section of the patient's most recent intake form for one of your appointments.

  1. In the Preview your note section, select a sample transcript from the dropdown menu.
  2. Click Generate Summary to test your prompt using the sample transcript.
  3. Click Save.

What to Expect

The updated prompt applies to all future chart entries that use this template. If other staff members are using the same shared template, your edits will affect their charts too.

Option 2: Edit a Prompt in a One-Off Chart Entry

To customize the AI Scribe prompt for a single chart entry, follow these steps.

  1. Go to the patient's Chart tab and click New Chart Entry.
  2. Select Smart SOAP Note.

  1. Hover over the Smart SOAP Note, click the three dots, and then the pencil icon.

  1. Edit the text in the Prompt field. Click Show Prompt Snippets to browse suggested prompt language.
  2. Select Narrative or Point Form from the Format dropdown.
  3. Check Include the last 10 signed charts to include charts you've authored for the patient.
  4. Check Include most recent intake form to include the questionnaire section of the patient's most recent intake form for one of your appointments.

What to Expect

The prompt change applies to this chart entry only.

Important Notes

  • AI Scribe only reads the questionnaire section of the patient's most recent intake form. It does not read intake forms the patient completed for appointments with other practitioners.
  • The preview feature is only available when editing a prompt in a template, not in a one-off chart entry. To test a prompt in a one-off chart entry, upload or record audio and review the generated chart draft.
  • To test a different prompt using the same audio in a one-off chart entry, download the original recording, create a new chart entry, edit the prompt, and re-upload the audio file.

🩵 Jane Tip: If you download an audio file to test a prompt, delete it from your device once you’re finished, since audio files contain PHI.
