Getting Started
Before you get started, make sure you have the following in place:
- A transferred gift card balance - The patient you’re reloading the card for needs to already have a credit memo from a previous gift card balance transfer: How Do I Transfer a Gift Card Balance to Another Patient?
- An existing gift card - This guide covers reloading a gift card that already exists. If the patient doesn’t have one yet, see our guide on Loading a Gift Card Using a Credit on File for how to create one.
Instructions
To move a transferred balance back onto a gift card in Jane, use one of the two methods below. Once complete, the patient’s credit memo is converted back into a gift card balance.
Option 1: From the Billing Tab
- Go to Billing > Gift Cards / Certificates > View next to the gift card you want to reload.
- Click Load Card in the top right corner.
- Enter the name of the patient who received the transferred balance and currently holds the credit memo on their account.
- Enter the total amount of the credit that was transferred.
- Remove any pre-populated payment methods.
- Click Add Payment Method.
- Select Account Credit as the payment method in the pop-up window.
- Click Pay.
🩵 Jane Tip: To avoid sending the patient a notification about this change, click Pay without selecting a notification icon.
What to Expect
The patient’s credit memo is converted back into a balance on the gift card. The gift card can now be redeemed or transferred again as needed.
Option 2: From the Patient’s Profile
- Go to the profile of the patient who holds the credit memo.
- Go to Billing > Gift Cards > View next to the gift card you want to reload.
- Click Load Card in the top right corner.
- Enter the total amount of the credit that was transferred.
- Remove any pre-populated payment methods.
- Click Add Payment Method.
- Select Account Credit as the payment method in the pop-up window.
- Click Pay.
What to Expect
The patient’s credit memo is converted back into a balance on the gift card. The gift card can now be redeemed or transferred again as needed.
Important Notes
- Both options complete the same reload process. Use whichever entry point fits your existing workflow.
- Once funds are loaded onto a gift card, the card can no longer be deleted.
