How to Create and Load a Gift Card Administratively in Jane

Staff Access Level: Full Access and above to enable gift cards. Any staff member with access to the patient's profile can load a gift card.

Staff can create and load gift cards right in Jane, with no physical cards needed. In this guide, you’ll learn how to enable gift cards in Jane and how to create and load them from the admin side, either by letting Jane generate a number or by entering an existing gift card number.

Getting Started

Before you can create a gift card, a staff member with Full Access needs to enable the feature within the Settings tab. Once enabled, any staff member can create and load gift cards.

  1. Go to Settings > Billing Settings.
  2. Check the box beside Gift Cards enabled.
  3. In the Gift Card load limit field, enter the maximum amount that can be loaded onto a single gift card.

Step 1: Where to create a gift card

Jane gives you a few ways to get started. Use whichever works best for your workflow:

  • Receive Payment screen: When processing a payment, select Load a Gift Card from the payment options
  • Billing tab: Go to the Billing tab > Gift Cards > click New Gift Card
  • Patient profile: Go to the Patient’s Profile > Billing > Gift Cards

Step 2: Choose how to identify the gift card

Once you’re in the creation flow, you’ll need to give the gift card an identifier. Pick the option below that works best for you.

Option 1: Let Jane Generate a Number

Use this option when you don’t have a pre-assigned number and don’t need a searchable name.

📣 Heads up: If the person purchasing the gift card is not a patient at your clinic, a profile with your clinic’s name or something like “walk-in purchases” works great here.

  1. In the pop-up window, click generate a fresh number.
  2. Search for and select the patient who is purchasing the gift card.
  3. In the Receive Payment screen, enter the payment details and the amount to load onto the gift card.
  4. Click Pay.

Option 2: Enter an Existing Number

Use this option if your clinic has physical gift cards with pre-assigned numbers.

  1. In the search field, enter the gift card number or scan it using a USB barcode scanner.
  2. Click Create New Gift Card #.
  3. Search for and select the patient who is purchasing the gift card. If the person isn’t a patient at your clinic, a clinic-name profile or a placeholder like “walk-in purchases” works well here.
  4. In the Receive Payment screen, enter the payment details and the amount to load onto the gift card.
  5. Click Pay.

Option 3: Give the Gift Card a Name

Use this option when the recipient is already a patient at your clinic. A name makes the gift card much easier to find when the recipient comes in to redeem it.

📣 Heads up: The name cannot contain spaces. Jane will add the # symbol automatically, so no need to include it yourself.

  1. In the search field, enter a name for the gift card instead of a number.
  2. Click Create New Gift Card #.
  3. Search for and select the patient who is purchasing the gift card.
  4. In the Receive Payment screen, enter the payment details and the amount to load onto the gift card.
  5. Click Pay.

Important Notes

  • All gift card identifiers must be at least 6 characters long, whether you’re using a number or a name.
  • If your physical gift cards use a number format like #003, enter it as GC003. Jane will add the # symbol automatically.
  • There’s no way for staff to email a gift card directly to the recipient from Jane at the time of administrative purchase.
    • The receipt, including the gift card number or name, is sent to the patient recorded under the payment.
