The Accounts Receivable Report
The Accounts Receivable (AR) report shows how much patients and insurers still owe and how long each balance has been outstanding. Use the AR report to see where outstanding balances stand and decide what to follow up on.
Step 1: Open the Accounts Receivable Report
Go to Reports > Accounts Receivable.
Step 2: Read the Accounts Receivable Report
The report table lists:
- The name of the patient or insurer
- The total amount owing
- A breakdown of amounts owing over time
Filter and Sort the Report
- Filter by: clinic location, staff member, account type (patient or insurance), and date.
- Sort by: account name (alphabetically), amount owing, or how long the amount has been owing.
Prioritize Balances by Age
A balance in the 60 or 90+ day column needs attention sooner than a balance in the 0–30 day column.
Decide How to Follow Up
- Balance owed by an insurer: Review the claim itself. See Following Up on Outstanding Claims below.
- Balance owed by a patient: Follow up with a patient statement.
🩵 Jane Tip: When you set an Allowed Amount in your Billing Codes settings, Jane uses the Allowed Amount to calculate insurer and patient invoicing, so the AR report reflects expected insurer and patient responsibility. The claim still submits the Billed Amount, which can be higher than the invoiced and AR totals.
Following Up on Outstanding Claims
The AR report shows the big picture. Use Claim Submissions Search to work claim by claim and find out what’s holding up each insurer response.
Step 1: Pull a List of Outstanding Claims
- Go to Billing > Claim Submissions > Search…
- Set the All States filter to All Outstanding.
- Click Date Range and set an end date around one month ago. This captures the claims that should have a response by now and leaves out claims you just submitted.
- (Optional) Filter by insurer using the All Insurers drop-down.
Step 2: Follow Up on Each Claim
Work through the list of outstanding claims one by one in Jane, or export the list and work from the exported report.
Export the List
- Click the three vertical dots at the top of the list to export the report.
- Under Export All, select Excel or CSV.
The exported report includes the information needed for claim follow-up, such as patient name, subscriber ID, and date of service.
Track Your Progress
- Add notes as you go so you know where you left off.
- If the insurer returns a denial or rejection, go to the Resubmissions lesson to correct the claim and resubmit it.
