Hey Jane community,

We’ve got lots of exciting updates coming your way this month, so before we jump in, here’s a sneak peek:

  1. A new Feedback Loop for Supervision
  2. New and improved Online Appointments
  3. Secondary Insurance Collection on Intake Forms

(1) Supervision (Beta): Feedback Loop

We’re looping you in on a new element to our Supervision feature, which allows supervisors to give direct feedback and/or request changes to a chart entry before signing off. We’re calling this the Feedback Loop.

So, how does it work?

  • Supervisors can leave feedback in a new note field at the bottom of a chart entry that’s Pending Review.
  • When a chart is sent back to a supervisee with feedback, it will appear in a new collapsable section at the top of the chart entry in a new draft state called Changes Requested. Supervisees can then review all their charts and feedback in their Staff Profile > Charts.
  • If a supervisor just wants to say, “Job well done”, they can do that too, then simply sign the chart.

(2) New Online Appointments (Beta)

We know that poor telehealth call quality is disruptive to you and your clients’ sessions, and for those of you dealing with this, you need a better solution. We saw this as a big opportunity for our team to roll up our sleeves and get to work, and so that’s what we did.

We’re thrilled to introduce our Online Appointments beta, featuring new behind-the-scenes technology that should hold up better when conditions aren’t ideal (like when folks are using slower or older computers, have low internet bandwidth, or have an unstable internet connection).

You’ll know your way around since it’s similar to the Online Appointments you’re used to, just with a few little tweaks here and there.

Although it’s totally optional, this is available to everyone and we’d love for you to give it a try. Account Owners can activate the Online Appointments beta in the new Experimental Features tab in Settings. It’s available on all Jane plans, but keep in mind that online group appointments are still $15 per practitioner per month.

(3) Secondary Insurance Collection on Intake Forms

Patients covered by multiple insurance plans can now upload their primary and secondary policy information on their Intake Forms. This allows you to collect up to 3 insurance policies from your patient before their appointment. 🎉

And, to keep things organized, uploaded insurance cards will now be found with your patient’s Insurance Policies, rather than in their Files area. We think this new home will make it easier to view all your patient’s insurance info from one place.

We hope these small changes reduce a bit of the back-and-forth and feel a touch more intuitive.

Honourable Mentions

  • Patient Time Zones: Starting this week, we’ll be rolling out Patient Time Zones! Patients will be able to set their default time zone so they can view, book, and receive reminders in that timezone, no matter where your clinic is. To learn more about Patient Time Zones, check out this guide or reach out to our support team.
  • Timesheets (Beta): To make it a little easier for you to manage and pay your administrators, we’ve built a new beta feature called Timesheets. Timesheets allow staff members to log their hours worked in Jane. When it comes time to run payroll, you can load a new report that calculates payable hours for all staff members who are recording timesheets. Although this feature is still in beta testing, it’s available in your account — so give it a try and let us know if you have any thoughts or feedback on how we can improve it by filling out this quick survey.
  • New Intake Form Permissions and Privacy Enhancements:Last month, we shared some Patient Relationships updates that gave you and your patients more tailored control over managing and accessing intake forms. Now, we want to give you a heads up that we’re slowly rolling out the newest update — Jane will start requiring all patients to log in before filling out their intake forms. This will ensure that Jane properly reflects who completed (authored) the form so that only the right people can access it.
  • Treatment Add-Ons (Beta): We want to make it easy to add additional services to an appointment — and we’re doing this in steps. To start, you can now add services to appointments on behalf of patients and send them a consolidated appointment reminder and invoice. Then, we’ll shift our focus to the next big thing — giving your patients the ability to book treatment add-ons online. We’re working hard on this update and can’t wait to share more details with you.
