Step 3: Taking payments online and on the terminal (via Jane Payments)

It sounds like you’re ready to take your first payments in Jane.💰 How exciting!

Let’s start with the basics to ensure we’re all on the same page. The first step is going to be to click the Arrive button in the top left-hand corner of the Appointment Panel. Then, press the blue Pay button in the top right-hand corner of the appointment panel.

This is going to bring up the Receive Payment screen.

You can simply hit the next button if you’re ready to take a payment, or follow these instructions if you need to Partially Pay an Invoice.

Now, if this is your first time taking a payment for this client, you might see what looks like a scary warning/error message saying you need to add funds or reduce the amount you’re collecting in order to continue, but this will go away once we actually select the payment method you want to use for this client!

Jane is going to remember this payment method for next time for quicker access, but you can always remove that payment method and select a new one next time too.

👩‍💻 Online payments with Jane Payments

Once you’ve selected Add Payment Method, Jane will bring up your list of payment methods, and you’re going to use the section at the top under the Jane Payments heading. If the client does not yet have a credit card saved on file, then you can go ahead and click Add New Credit Card.

From here, you can populate the client’s credit card information, add a Nickname, and assign a colour.

The nickname is helpful when credit cards are shared amongst family members, for example, using ‘Dad’s card’ for a minor.

If the credit card was already saved on file (perhaps your online booking policy required a credit card), then the credit card on file can be selected here:

It’s important to note the two different sections listed in the payment methods screen:

  • Jane Online Payments: These are real payments processed through Jane Payments; and,
  • Payments taken outside of Jane: These aren’t processed by Jane, but they are recorded in Jane for reporting purposes.

Once you’ve selected your client’s preferred payment method(s), you can go ahead and hit one of the blue Pay buttons at the bottom of the screen. The button you select here will depend if you want to generate a printed or emailed receipt, or if you don’t want to generate a receipt at all.

🙎‍♂️👩‍💼💳Terminal payments with a Jane Payments Terminal

Once you’ve linked your Jane Payments Terminal, you’ll find an option to select your terminal at the top of the list. In our example, we named our terminal Front Desk, however, you may have a different custom name you chose when setting it up.

Once you’ve selected the Terminal as the payment method, you’ll have the option to allow the client to leave a tip for their practitioner, as well as save the client’s credit card information to their account when they tap, swipe, or insert their card into the Terminal.

Next, you can click one of the three Pay buttons, and watch the transaction appear on your Jane Payments Terminal.

Your Jane Payments Terminal will prompt your client to tap, swipe or insert their card, and once they’re done, the payment will be automatically recorded in Jane! 🎉

💳 Saving a credit card to a client’s profile (when no payment is being processed)

For those using Jane Payments, you can safely add a credit card by heading over to the Patient’s Profile, Billing within their profile and clicking on the Credit Cards tab.

From here, enter the client’s credit card information, including the CVC (or the security code) and postal code. You also have the option of adding a Nickname (ex. Dad’s card) and assigning a colour. The nickname is helpful when credit cards are shared amongst family members, for example, using ‘Dad’s card’ for a minor.

The very last step would be to hit that blue Save button and the credit card will be available for future use!
