Jane's Guide

Here's all the help you need to use Jane.

Jane's Monthly Newsletter (December)

Hey Jane Community,

With 2025 coming to a close, we just wanted to take a moment to say… thank you. 💙 For all the feedback, questions, and high-fives you’ve sent our way. Every bit of it helped shape what we built this year.

We’ve got a few final updates to share before we sign off for the holidays, and a little peek into what’s next.

Patient Forms Report

The new Patient Forms Report is here, and you can find it in your Reports tab.

This report brings every intake form into one place, making it easier to see what’s been submitted, what’s still outstanding, and where a quick follow-up might help move things along.

Here’s what you can do with it:

  • Get a snapshot of all outstanding forms
  • Search and filter to zero in on specific patients or dates
  • Jump straight to a patient’s profile. No backtracking needed
  • Send a manual reminder if someone needs a little nudge to complete their form

And as a little bonus, you can now choose to receive a real-time email notification whenever a patient submits a form. Just toggle it on in your staff profile.

🇺🇸 🇨🇦 Push Notifications for Secure Messaging (Mobile App)

If your clinic uses Secure Messaging, here’s a quick update that could make life a bit easier for you and your patients.

Patients using Jane’s Mobile App for Clients can now opt in to push notifications. That means they’ll get a heads-up on their phone when you send them a secure message, even if the app isn’t open.

This update helps make care between visits even smoother, helping your patients stay informed, engaged, and supported, while making it easier for your clinic to keep conversations moving with fewer missed messages.

Just a heads-up: these notifications only apply to Secure Messaging right now, not appointment reminders or booking updates.

🔔 Here’s how it works for your patients:

  • Patients will be prompted to turn on notifications the next time they log in.
  • If they say “no thanks,” they can still enable them anytime in their app settings.
  • Tapping the notification brings them straight into the message thread.

If you’re looking to share the app more widely, we’ve put together a handy Mobile App Toolkit with a printable poster and some social templates you can customize.

Why clinics love it:

Honourable Mentions

  • Secure Messaging Update: We’re giving you choices! You can now send a secure message from the patient profile in addition to the messaging centre. Now, when you head to a patient’s profile or open it from your Day View, you’ll see the new “Send Message” button in the upper right corner.
  • Simple Jane Payments Sign Up: If there’s one thing you don’t need this time of year, it’s more clutter. So, we’ve made our Jane Payment signup flow simpler. If you’re not on Jane Payments yet, give it a go and get started in minutes.
  • 🇺🇸 🇨🇦 AI Scribe for Online Appointments (Beta): AI Scribe is expanding. Want early access? 👀 Starting in mid-February, we’re expanding our early access to AI Scribe for Online Appointments. If you haven’t seen it in action yet, AI Scribe transcribes your 1:1 virtual sessions and generates formatted draft notes. Next, we’ll be testing a new feature that lets you choose from your own templates or prompts. And if you’re on the Free tier, you’ll be able to see how many notes you have left or upgrade when you need to. If you want in, add your name here, and we’ll be in touch in February.
  • Home Exercise Program Integration with Wibbi (Beta): Wibbi. Arguably one of the more fun words. But it’s also the name of a new integration we’re working on, and early access will be kicking off very soon. You’ll be able to launch Wibbi right from a patient’s chart, build or customize a plan using their library, and have it automatically sync back to Jane as a draft chart entry. Interested in trying it early? Sign up here, and we’ll be in touch when it’s ready.
  • Email Marketing Integration with CyberImpact (Beta): We’re working on a new partnership with CyberImpact, a cloud-based email marketing platform that makes it easy to create, send, and track reminders, follow-ups, newsletters, and campaigns. We’re looking for clinics interested in trying out the integration and giving us feedback on their experience. If selected, you’ll be asked to sign up for a CyberImpact account. As a Jane user, you’ll have access to an exclusive offer: either 2 months free or a 6-month 20% rebate on any plan. If you’re interested in participating, just fill out this short form, and we’ll follow up with next steps.
  • Festive Mode: The lights have officially been turned on, and Festive Mode is here. ✨ Click your name on the top right corner of your account to find a little festive surprise for the holidays.

Listen now: Can ChatGPT be a therapist?

One of the most read (and discussed) pieces in Front Desk Volume 6, Can ChatGPT Be a Therapist? returns in a new form. We’ve adapted the story into a special narrative episode of the Radio Front Desk podcast, where editor-in-chief Denzil Ford traces the anxieties and aspirations of four therapists confronting a new reality: clients increasingly seeking guidance in AI. Their insights open up a deeper conversation about the therapeutic relationship, the future of the industry, and what care will look like in the years ahead.

Until next time,

The legal stuff:

1 Clinic Financing by Stripe is only available in the United States. Stripe Capital offers financing types that include loans and merchant cash advances. All offers are subject to review prior to approval. In the U.S., loans are issued by Celtic Bank, and YouLend provides merchant cash advances. Jane does not determine eligibility or service these offers. See your Stripe Express Dashboard for personalized terms and conditions.

2 Eligibility: Eligibility is determined based on a combination of factors, including overall sales volume and history with Jane Payments. Eligible US businesses will receive an email, as well as a notification in their Jane Settings, if they have an offer available.

3 1-2 Business days: Actual deposit timing may vary based on your bank, transaction history, and risk review by Stripe.

4 Clinic Financing by Stripe: Stripe Capital Financing loans have a minimum amount due each payment period. If the amount that you pay through sales doesn’t meet the minimum required, your bank account will be automatically debited the remaining amount at the end of the period.
