Jane Tip 💡: Adding or removing a saved card does not change whether a patient is required to provide a card when booking online — that’s controlled by your clinic’s Online Booking Payment Policy.

Note 📍: Storing credit card information requires Jane Payments. Jane uses PCI-compliant payment processors to keep card data secure — credit card details cannot be stored in plain text anywhere in your account (like Charts or Notes).
Adding a Credit Card Without Processing a Payment
Use this option when you need to save a new card to a patient’s profile outside of a payment. For example, when a patient’s card has expired or their information has changed.
Steps
- Navigate to the Patient’s Profile > Billing > Credit Cards tab
- Click the blue Add Credit Card button
- Fill in the required fields (all fields are required)
- Click Save
What Happens
The credit card is saved to the patient’s profile and can be used for future payments.
Note 📝: Debit cards can only be added to a patient’s profile if they are a Visa or Mastercard Debit.
Adding a Credit Card During a Payment
If you’re already processing a payment and want to save that card for future use, you can do that during the payment workflow.
Steps
- Go through your regular payment workflow until you reach the Receive Payment page
- Remove any pre-populated payment methods (if applicable) and click the blue Add Payment Method text
- Select Add New Credit Card
- Enter the patient’s credit card number, CVC/security code, and Postal/Zip code
- Click the blue Save button
- The new card automatically populates — click one of the blue Pay buttons to complete the transaction
What Happens
The payment is processed and the card is saved to the patient’s profile for future use. The Postal/Zip code is required because Jane uses a North American-wide system called AVS (Address Verification System). This adds a layer of security and decreases the chance of a decline. Jane will also automatically detect the country associated with the card.
Note 📝: Once a card has been added on file, the name on the card cannot be changed. To update the name, you’ll need to delete the card and re-add it with the correct name.
Automatic Expiring Card Notices for Patients
Jane automatically displays a credit card status message in appointment-related emails to help patients stay on top of their billing details.
If a patient’s saved card is set to expire within the next 30 days, they’ll see a message letting them know their card is expiring soon.
If the card has already expired, the message will indicate that their card on file has expired.
Where These Notices Appear
These reminders are included in the following emails: “Thanks for Booking,” “Appointment Change,” “Upcoming Appointment,” and “Appointment Reminder.” Each notice includes a direct link to the patient’s My Account portal so they can update their payment information.
Frequently Asked Questions
⭐️ Can I turn off the credit card requirement for a specific patient?
Yes! If your clinic has an Online Booking Payment Policy that requires a credit card on file, you can override it for individual patients.
Steps
- Navigate to the Patient’s Profile > Edit/Settings
- Scroll down to Online Booking Payment Policy
- Select No payment required from the dropdown
- Click Save

⭐️ Can I manually enter a credit card without saving it?
If you’re using Jane Payments without a terminal, there isn’t currently a way to process a one-time manual card entry without saving the card details.
Workaround: Process the payment, then immediately delete the card from the patient’s profile so it’s no longer stored in Jane.
When patients pay online, Jane informs them that the card will be saved on file for future bookings.
⭐️ Can patients set a primary or default card in their My Account portal?
Patients can’t set a primary card themselves, but there’s a workaround. You can add nicknames to their cards (like “Primary” or “Backup”) to keep things organized.
Steps
- Navigate to the Patient’s Profile > Billing > Credit Cards
- Click View next to the card you’d like to rename
- Enter a name in the Nickname field
- Click Save
