Switching to Jane Payments: Patient message templates

SMS & Email Pay Balance Reminder

Where to add:

  • SMS: copy & paste, or set up a shortcut, and use it on the patient profile > pay balance text reminder
  • Emails: Settings > Language > Pay Balance Email Message

Sample language: We’ve updated our payment system! Please update your card using the link and pay any outstanding balances. Your card will be saved securely for next time.

Note: SMS allows for a maximum of 160 characters. The above sample is 154 characters, so be mindful of making any lengthy changes!

Online Booking Site Banner

Where to add:

  • Settings > Language > Notice/ Message on Online Booking Pages

Sample Language: We’re upgrading our payment system! When confirming your booking, you’ll see one extra screen to securely re-enter your card details. This is a quick, one-time update. Thanks for helping us make your visit smoother.

Email Language

Where to add:

  • Settings > Language > Reminder Email: Details
  • Settings > Language > Thanks for Booking Email: Details

Sample Language: A Quick Payment Update: Our clinic is switching to a new payment processor to make things easier for you and to add a few helpful features behind the scenes. As part of this change, we will need to collect your card details again the next time you book an appointment, fill out a form, or log in to your account. It is a quick, one-time update that helps keep everything running smoothly.

Intake Form Collection

Where to add:

  • Settings > Forms & Surveys > View Forms > Edit > Credit Cards

Sample Language: Our clinic is moving to a new payment processor, which means we need to re-collect your card details. We know you have likely done this previously, so we appreciate you taking a moment to update it with us. Having a card on file helps us offer simple, contactless payments and spend more time with you during your visit instead of processing payment afterward.
