There are a few ways to collect payment for Telehealth appointments in Jane, depending on whether you have Jane Payments set up. Here's a breakdown of your options.
With Jane Payments
Jane Payments lets you store client cards on file, accept online booking pre-payments, and send e-invoices to clients for outstanding balances, all within Jane. To get started, go to Settings > Jane Payments.
Option 1: Process a Card on File
If the client already has a credit card saved on their profile, you can process payment right after the session using the standard payment workflow.
If the client doesn't have a card on file, they can add one at any time through their My Account portal. See our guide on Adding a Credit Card from the Client My Account Page for details.
Option 2: Pay Balance Email
Send the client a personalized message along with an invoice for their outstanding balance. The session must be arrived before the balance will reflect the correct amount. Jane will store the client's card information for next time once payment is collected.

Option 3: Pay Balance Text
Send the client a secure link by text message to pay their outstanding balance. Like the Pay Balance Email, you can include a personalized message. Clients can pay with a credit card, Apple Pay, or Google Pay, and can download or print their receipt after paying.

Option 4: Online Booking Payment Policy
Set a payment policy that requires clients to save a card on file, pay in full, or pay a deposit before completing an online booking. Go to Settings > Jane Payments > Online Booking Payment Rules to set this up.

📣 Heads up: There isn't a way to customize the online booking payment policy for a specific treatment type. The policy applies to all patients or can be restricted to a patient's first visit.
Without Jane Payments
If you don't have Jane Payments set up, you can still generate and download an invoice for the session to send to your client.
- Click on the arrived appointment in the Schedule.
- In the Appointment Panel, find the Billing Info section and click the invoice link with the client's name and invoice number.
- Print, download, or email the invoice to your client.
Important Notes
- For Telehealth (Couples & Families) appointments, one invoice is generated for the primary client. The invoice includes the names of any secondary clients who have been arrived.
- For Telehealth (Groups & Classes) appointments, each participant is invoiced separately.
