Regulatory requirements around patient data are getting more complex. We hear from practitioners that managing PIPEDA and HIPAA data retention requirements usually means lots of time and manual work to stay compliant.

In our latest product newsletter, we introduced the Patient Data Retention Report. It gives you a filterable view of your patient list by retention period, last visit date, and last chart entry, so you can see exactly where each record stands.

We also shared a few more updates:

  • A cleaner separation between Packages and Memberships in your settings.
  • An early look at 1:1 secure Text Messaging with patients.
  • An AI Scribe update that pulls in intake form data to keep your notes consistent across visits.

Patient Data Retention Report

Staying on top of patient record-keeping obligations can be tedious. The Data Retention Report will make it a little easier.

If you’re responsible for managing how long patient data stays in your system, you can now see exactly where each record stands.

This report lets you review and filter your patient list by retention period, last visit date, or last chart entry, so you can quickly identify records that are coming up on (or have passed) your regulatory window.

Whether you’re doing a routine audit or responding to a patient data request, everything you need to make that call is in one place. Find it under Reports in your Jane account.

Separation of Package & Memberships in Settings

If you’re using Packages and Memberships in Jane, you might have noticed a small change. 👀

Over the next few weeks, we’re rolling out an update that separates Packages and Memberships into distinct areas in your Settings.

While these features have been closely connected in the past, they’re actually designed to do different things. This change helps improve performance, and creates a more intuitive experience when managing each feature, and helps lay the groundwork for making packages available online.

If you don’t see this change in your Settings yet, hold tight as we continue to roll it out.

  • Text Messaging in Jane (Beta): Yes, it’s happening. 📱 We’re opening a closed beta for 1:1 text messaging with patients (starting with Canada and the US). Fill out the form to get in line, help us understand what your clinic needs, and we’ll reach out when a spot opens up. Heads up: it’ll be a paid add-on. We’re still finalizing pricing and will share the details before you have to commit to anything. Add yourself to the beta here.
  • 🇺🇸 Mango Voice Integration (Beta): Know who’s calling before you pick up, and actually have their chart ready when you do. We’re working on an integration with Mango Voice, a HIPAA-compliant VoIP system for healthcare practices, that automatically matches incoming calls to your patient list and pulls up their profile in Jane. We’re looking for a small group of US-based early testers. Interested? Sign up here.
  • Clinic Guidelines in Secure Messaging: Patients messaging your clinic for the first time don’t always know the rules. Now you can tell them. If you’re using Secure Messaging in Jane, you can now add your own guidelines in Secure Messaging settings. They’ll appear at the top of every new conversation and in email notifications, so patients know what to expect before they hit send.
  • AI Scribe: Intake Forms & Patient History: AI Scribe just keeps getting smarter. It now factors in a patient’s most recent intake form when generating draft notes for practitioner review. This means your documentation stays consistent with what your patient is reporting, and you won’t need to start from scratch each visit. You can set this up with a single checkbox in your AI Scribe template settings.
