How do Jane plans and licenses work?

Every Jane account comes with 1 Primary License built into the base price you see advertised with each plan option.

Note: The Balance plan is limited to 1 primary or practitioner license only.

For the Practice and Thrive plans you can add as many additional full and half licenses as you need—and adjust these month to month if your staffing hours change.

  • Additional practitioners who book less than 24 hours of appointments per week require a half license.
  • Additional practitioners who book 24 or more hours a week require a full license.
  • Licenses cannot be split or shared between more than one person.
  • Admin and support staff are free of charge.

Think of your cost of Jane as paying us a salary to help out in your clinic!

We want you to be able to pay for Jane at the cost of a billable hour. With this in mind, we want the cost to make sense for fee-earners of all types; those that work full-time and part-time. Please note: you must first purchase an initial or primary license for a Jane account, and can then layer on as many full-time or part-time licenses as needed.

  • A full license is designed with full-time practitioners in mind; a practitioner with 24 or more booked hours a week.
  • A half license is designed with part-time practitioners in mind; a practitioner with less than 24 booked hours a week.
  • A half license will be, well, half the price of a full license! You can see the cost of half licenses for our Thrive and Practice plans in the table above.

Is there a charge for admin or support staff?

No. Administrative and support staff (i.e. non practitioners) can access and use Jane free of charge.

How does the 20 appointment limit work on the Balance plan?

On the Balance plan, you can book up to 20 One-on-One (1:1) and Group Appointments, or Classes with up to 20 attendees per month.

If you are booking both 1:1/Group Appointment and Classes, a helpful way to think about it is to look at how many invoices will be created. You can book sessions that will create up to 20 invoices each month.

How do upgrades or plan changes work?

If you’re already using Jane and feel one of the new plans will be a better fit, you can definitely choose one. But right now, you have the new top-tier plan (and at a discount) so you're not missing out on any features or value. 😉

Do you have any special rates?

You may qualify for our Helper Discount; this is our way of helping you get started and offers you $25 off either the Practice or Thrive plans if you are a solo practitioner.

  • The Helper Discount can be applied to your account by our team for your first 3 months, and is non-renewable.
  • The Helper Discount is only applicable to solo practitioner clinics.
  • We’d love to talk to you about special pricing for accounts with 10+ full-time licenses, or Corporate clinics as we call them.
  • Corporate or enterprise clinics may be eligible for custom pricing on the Practice or Thrive plans.

How does the Insurance Billing add-on work?

The Insurance Billing add-on is an optional add-on for $20 (which includes 1 full-time practitioner license), with a conservative cost per additional full-time practitioner ($5).

You can add insurance to either the Practice or Thrive plans.

How does the data import process work? Is there a charge for imports or setup?

Great question! We have a full team that works to help you step-by-step through data imports and migrations.

  • There are no additional costs for support with data imports or migrations.
  • Our team will walk you through the process and advise on steps you will need to take to access data, and how we can help.
  • We’ll ensure your data is set up in Jane to our best ability, at no extra cost.
  • We suggest booking your import right when you’ve signed up for Jane. Imports are booked around 10 days ahead, and your data will be imported on the day you’ve selected it to be complete once you’ve provided our team with your data.

I’d love some additional help with setup — is this an option?

Of course! Our Customer Support Team is an extension of your team — we’re a group of real humans and are here to help you and your business thrive.

  • You can schedule a free Account Setup Consultation as part of your setup with Jane.
  • You can schedule unlimited follow-up sessions with our Support Team.
  • Our Support Team is fully trained to answer all your questions; you won’t be passed from person to person, have to queue unnecessarily, and we are proud of our short wait times.
  • Our Support Team only has one goal: to answer all questions and make you feel set up for success. No time limits, no silly questions — just unlimited help.
  • We also migrate data from one Jane account to another, when two Jane clinics merge or start a shared clinic. Just ask us how!

I’m currently stuck in another long-term contract. Can Jane help?

Do you have a free trial or a demo account?

We do not have a free trial, but we have a few different ways to help you explore if Jane is a fit for you:

  • Schedule a demo with our team. Fun fact: we have no sales team at Jane! Our helpful Customer Support Team, however, is always available to give you a walkthrough of any elements of Jane you’d like to see.
  • Join our Jane Community. Who better to give you the scoop on whether Jane can work for you, than clinics just like you? Our community of over 10,000 allied health professionals is an amazing place to ask questions about different needs and experiences.
  • Check out our Jane Demo Account. While we don’t have a trial, you can play around in our Jane Demo Account for an unlimited period of time. You can grab the login on a weekly basis from our Jane Community or Customer Support Team.

Can I access my account if I cancel?

For sure! We have two different options for account cancellations, based on your needs.

  • If you’ll require frequent access, we recommend downgrading to the Balance plan. You’ll maintain full access to your account, for 1 user, at a discounted rate.
  • If you require access in an exceptional circumstance, just reach out to our team and we’ll help you get access for a limited time period e.g. 24 hours.

What if I have 10+ practitioners?

  • We offer discounted rates for either our Practice or Thrive plans for corporate clinics (i.e. those with 10+ practitioners or full-time staff).

Does Jane have an option for nonprofit organizations and clinics?

Is Jane a fit for schools, teaching clinics, and educational centres?

Yes! We offer free licenses for students working in a teaching clinic, with alternative rate options for full-time staff in that clinic. What is the difference between the Legacy plans (Base & Insurance) and new plans (Balance, Practice, Thrive)?

Jane’s Legacy plans (Base & Insurance) were intended to suit clinics based on one specific need: whether or not you are managing insurance billing.

We have learned that there’s so much diversity in clinic needs, especially as we add more features, so more freedom between plans to suit budgets, appointments, staff, and use cases would be more helpful.

With that in mind, Jane’s new plans (Balance, Practice, Thrive) are designed to have a bit more distinction between them: we like to think of these as Jane’s resumes and everyone can choose which version of Jane would be the best hire for their practice.

Our current customers on our Legacy plans (Base and Insurance) have the same features as Practice and Thrive plans, and there are no changes to their plans or accounts with this update.

If I’m on a Legacy plan, can I try out a new plan?

If you are on one of our Legacy plans and are thinking about making the switch to one of the new plans, we’re here to help! Our team is probably our first stop in answering any questions you have ([email protected]).

You have a few options, of course, when it comes to deciding what’s best for you:

  • You can contact our team for a demo, and ask any questions you may have.
  • You can sign up for a new plan, and at the end of your first month you can stay put—or you can return to your original plan and pricing. We want to make sure you feel comfortable with whatever version of Jane you choose, so we’ll also provide a credit for any difference in subscription cost during that time if a new plan isn’t for you.

If I’m on the Base plan (Legacy), is there a way to add Treatment Plans or Superbills?

We’re glad to hear you’re interested in these features! I’m sure you have a lot of questions, and our support team ([email protected]) is probably best to help get into details, but we can recommend some ways to explore these features.

If you’re on the Base Plan and are hoping for Superbills, Treatment Plans, or both, there are 3 options:

  • Switch to the $79 Practice plan (gain Superbills and Treatment Plans - but this does come at the loss of some other features you already have).
  • Switch to the $99 Thrive plan and gain Superbills and Treatment Plans while maintaining all your existing features (without integrated insurance billing features).
  • Contact our team to try out a new plan (Practice, Thrive) and have 30 days to return to your previous legacy plan, if you feel it's not a fit right now.
